Japanese Bilingual Administrative Coordinator
Location: Washington DC (Onsite)
Reports to: Director
Overview:
A Foreign-incorporated administrative agency that is establishing their 1st office in the U.S. is looking for a Japanese Bilingual Administrative Coordinator.
The mission of the agency is to facilitate American medical devices and pharmaceutical companies to successfully expand their business lines by providing consultations regarding drug approval processes, medical device regulations, Good Manufacturing Practices (GMP), clinical trials, and import and export regulations. This position will provide administrative support to expatriates, ensuring the smooth and efficient operation of the office. Knowledge or some interests in Japanese regulations and guidelines in the medical and pharmaceutical sector could be a great advantage.
Essential Duties and Responsibilities include but not are limited to:
* Manage office supplies and equipment.
* Maintain accurate records and filing systems.
* Coordinate meetings and events, involving internal stakeholders, oversea offices, external partners and customers.
* Handle incoming and outgoing mail.
* Assist with expense reports and invoicing.
* Coordinate travel arrangements for expatriates.
* Prepare reports and documentations.
* Provide general administrative support to the management team.
* Perform basic translation and interpretation when specialized or technical knowledge is not needed.
* Support expatriates when there are language challenges.
* Assist with developing and distributing marketing materials incorporating information on Japanese medical and pharmaceutical regulations and compliances via newsletters, webinars, and updates on websites.
* Establish and nurture relationships with businesses interested in the Japanese market.
* Conduct research and identify trends and prospects concerning to the Japanese market expansion by the U.S. medical and pharmaceutical companies.
* Respond to inquiries and phone calls and emails about the Japanese market.
* Assist with projects as needed.
Qualifications:
* Proven experience in an administrative role in the office environment, preferably in Japan or Japanese corporation.
* Strong organizational and time management skills.
* Excellent communication and interpersonal skills.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
* Ability to work independently and as part of a team.
* Experience supporting expatriates is a plus.
* Bilingual Japanese and English (Japanese: reading, writing, and speaking highly preferred)
