Job Description
- Answer, transfer phone calls and take messages.
- Maintain security - monitor the register, proof of identification, NDA's, KR guidelines and issue visitor badges.
- Schedule meetings & arrange conference rooms for employees and visitors.
- Receive, sort, and deliver mail, documents, and packages.
- Update RR Donnelley Directory and group emails for Kirk Road.
- Send out daily attendance lists.
- Order and replenish coffee, condiments, soda, water and supplies for conference rooms.
- Order meals for company events.
- Coordinate and order lunches for visitors.
- Order and pick up cakes and fruit trays every month for employee Service Anniversaries and Birthdays
- Create and post welcome customer slides.
- Send out KR Guidelines prior to customer and vendor visits.
- Issue, activate and manage security door access badges for employees, vendors, and visitors.
- Manage and activate security door access for Staffing Companies.
- Contact vendors for maintenance issues for microwaves, coffee machines, water coolers & vending machines.
- Order office supplies for employees.
- Manage and approve invoices for vendors in Ariba.
- Coordinate and record purchases for the use of corporate credit card and P-card.
- Coordinate Xerox MOS List: order printers, supplies and arrange service calls.
- Assist Accounting Department with miscellaneous projects.
- Other duties as assigned
Qualifications
- High School Diploma or GED with 2+ years of relevant experience
- Able to consistently apply applicable policies, procedures, regulations, and program objectives when carrying out the duties of the job.
- Must have advanced knowledge of technology including computers and software programs such as MS Office or MAC word processing, spreadsheets, or other programs specific to the job in order to complete job duties successfully.
- Must have excellent oral and written communication skills to communicate effectively across departments when completing assignments.
- Must have strong organizational skills with the ability to manage deadlines and prioritize workload and make adjustments to meet business needs.
Additional Information
The national pay range for this role is $27,700.00 to $48,900.00 annually. The pay range may be slightly lower or higher based on the geographic location of the hired employee. The actual pay offered may vary based upon, but not limited to: education, skills, experience, proficiency, performance, shift and location. In addition to base salary, depending on the role, the total compensation package may also include participation in a bonus, commission or incentive program.
