Oversees the details of maintaining an efficient and professional office by serving as team leader, role model, coach and facilitator for staff. Performs additional functions related to office operations to meet specific needs of the department. Serves as a resource person for patients, physicians, office staff, various facilities, service lines, and outside agencies utilizing effective communication, courtesy, confidentiality and professionalism in all interactions. Makes appropriate decisions, reasoning, and problem solving to solve more complex problems related to office operations. Refers complex or potentially significant issues to director, including issues regarding compensation, work hours, and working conditions. Stays aware of organization developments and initiatives that they can adopt for their work group. Communicates, organizes, prioritizes, leads, facilitates, coaches and problem solves with other members of Carilion's management and patient care teams to ensure cost effective, age appropriate, quality patient care services which enhance customer satisfaction.

Provides a positive, rewarding and service oriented work environment which supports high quality patient centered care, an exceedingly competent and engaged staff, and the achievement of fiscal, score card and process improvement goals and objectives. Manages the operations of Covid Exposure team and scheduling. The CET team lead has the responsibility for implementing and coordinating the program of infection control in accordance with established standards, i.e., The Joint Commission (TJC), Occupational Safety and Health Administration (OSHA), the Virginia Department of Health (VDH) and the Centers for Disease Control (CDC). The program is designed to reduce the risk of endemic, pandemic, and epidemic hospital associated infections in patients, health care workers, and visitors.

  • Prioritizes and performs duties to maintain basic office workflow functions as primary responsibility or back up and as applicable to the worksite: greets, screens, and provides service to patients and visitors; processes mail, faxes and other documents.
  • Oversees details of maintaining an efficient and professional area, coordinating workflow, staff scheduling, new staff orientation, and clear task delegation as applicable to the worksite.
  • Contributes to the interview and performance review processes as requested by Director. Assists director in assuring staff competence and contributes to staff. performance development for the central resource center.
  • Demonstrates customer focused telephone etiquette to ensure all calls are received, screened and routed timely and appropriately; emergency calls, staff pages, and overhead announcements are processed according to established procedures; messages are retrieved and routed accurately.
  • Conducts individual and/or team meetings insuring effective two-way communications, keeps group informed, listens to needs and issues, resolves items brought to their attention, and follows up with team members and management on issues.
  • Collaborates with management regarding fiscal management. Assures appropriate resource allocation, and maintains staffing levels in accordance with financial targets, provides input to budget process and resource needs and expense control.
  • Functions as resource center data specialist. Assists with collection of data for monthly operations meeting and other departmental initiatives utilizing various data and other informational input sources.
What We Require:

Education: Bachelor's Degree or equivalent 8 years of experience required.

Experience: 5 years related experience demonstrating increased or diversified responsibility required with 2-3 years management experience preferred.

Licensure, certification, and/or registration:
Maintains recertification (every 5 years) in Infection Control (CIC).

Other Minimum Qualifications: Must successfully complete orientation and competency validation for position. Must be customer driven, have strong grammar, spelling and punctuation skills, knowledge of medical terminology, knowledge of office procedures and equipment, proficiency in computer data entry/keyboarding, and good organizational, communication, and interpersonal skills. Ability to use electronic medical records. Ability to multi-task essential. Strong PC software skills in word processing, spreadsheets, database and presentation software required (e.g., Microsoft Office Suite). Business writing skills with the ability to compose documents, including correspondence, agendas, minutes, reports, etc. may be required based on departmental needs. Demonstrated leadership, interpersonal, and communication skills. Demonstrated skills in clinical, operational, and Human Resources management. Demonstrated experience with budget management. Must be able to fulfill fundamental components/essential elements of position Strong organizational and analytical skills. Knowledge of word processing, spread sheets, and presentation programs.
