Department:CES | Sponsored ProgramsDepartment's Website: This individual will perform administrative duties in support of all pre and post-award functions within the Office of Sponsored Programs. The Grants Support Specialist performs many routine and non-routine office functions which substantially contribute to the Office's objectives. Essential Functions: *Receives information in various forms and determines the appropriate method of processing. This includes oversight of OSP email inbox. *Responsible for creating, maintaining and updating all grants files and other official records, record keeping systems; records retention/disposition; etc. Records are both paper and/or electronic. *Responsible for data entry and maintenance of award data within Streamlyne. *Maintains CES Workflow Contract Submissions via SharePoint for all Sponsored Agreements. Includes coordinating with legal office for review of agreements and obtaining appropriate signatures for agreement execution. *Compiles & disseminates monthly reports to OSP staff for monitoring past due invoices and sending pre-term and closeout notifications to faculty engaged in sponsored programs. *Assists in the creation of monthly, quarterly and annual reports for presentations, and other publications utilizing proposal and award data. *Monitors/analyzes budget vs actuals reports and perform bookkeeping related duties such as reconciling, monitoring, making/tracking expenditures, preparing budget statements regarding the status of accounts and making recommendations as to projected budgets. To include OSP departmental budget as well as some routine grant setup and monitoring. Requires knowledge and skill in using Workday financials. *Coordinates subrecipient responses and notifications related to the annual Federal Single Audit. Often composes responses to memos and correspondence requiring research, judgment and discretion routinely writes, edits and submits materials for internal/external communications. *Maintains and updates the Office of Sponsored Programs website. *Coordinates scheduling tasks and support services associated with major meetings, conferences, training sessions, travel, or other related duties for both internal and external contacts. *Responsible for ordering office supplies & equipment, tracking departmental equipment and maintaining Pcard and Tcard records. *Generate quarterly Effort certification reports and helps to Coordinate certification completion. *Coordinate and maintain OSP calendar and any training resources. *Make travel arrangements for OSP staff travel. *Conducts special projects and assignments as directed by Director or Senior Grants officers. *Other related duties as assigned.
