In the role of Communications Specialist - Events, we'll count on you to:

Conference Sponsorships



  • Track and maintain a comprehensive list of business group funded conference sponsorships
  • Coordinate with leadership to identify sponsorship opportunities
  • Negotiate sponsorship contracts with professional organizations
  • Develop and implement strategies to leverage sponsorship investments in partnership with respective conference planning team
  • Fulfill sponsorship benefits (e.g., complementary registrations, advertisements, handouts, exhibit booths, etc.) for essential and strategic conferences and coordinate with market sector leads high impact conferences
  • Develop and maintain collaboration sites for high-impact conferences in coordination with market sector leads
  • Process payments through accounting
  • Maintain a selection of exhibit booths in the Company Store in collaboration with EMS in partnership with the market sector leads
  • Advise local marketing teams on best practices to approaching local and regional conference sponsorships and exhibits


Professional Organization Memberships



  • Track and maintain list of business group funded professional organization memberships
  • Maintain membership benefits, member lists and access to organizations websites
  • Promote the benefits of our professional organization memberships
  • Process payments through accounting


Event Coordination



  • Maintain a list of business group funded client events
  • Provide planning team with appropriate venue options and facilitate timely venue decisions
  • Complete associated contracts and credit card authorizations
  • Develop menus, room layouts, coordinate furnishings, entertainment, etc.
  • Develop invitations, invitation process, client lists, conference registration list, and track RSVPs
  • Process payments through accounting


Abstracts/Stipends/Presentations



  • Coordinate with market sector and business class leadership to drive presentation/abstracts submission for High Impact and Strategic conferences in partnership with the market sector leads
  • Coordinate with business group website and social media liaison to list presentations on website and promote on social media


  • Perform other duties as needed


Preferred Qualifications



  • Bachelor's degree in closely related field
  • Previous consulting and/or creative agency experience.

Required Qualifications

  • A minimum of 5 years experience in a communications field of expertise: social media, event planning, community engagement, target marketing, descriptive writing, public involvement, etc
  • Experience in a communications field of expertise: social media, event planning, community engagement, target marketing, descriptive writing, public involvement, etc.
  • Excellent written and verbal communication skills
  • Self-motivated and ability to work independent with multiple teams as well as team oriented
  • Great interpersonal and communication skills - positive outlook and attitude
  • High aptitude for managing and solving tactical issues
  • An attitude and commitment to being an active participant of our employee-owned culture is a must
  • Comfortable and competent while working with senior leaders and managing cross-functional efforts
  • Demonstrated ability to operate both strategically and tactically in a high-energy, fast-paced environment
  • Committed to quality, continuous improvement, and HDR values
  • Proficient in Adobe Creative Suite - InDesign
  • Proficient in Microsoft Office Suite

The expected compensation range for this position depends upon skills, experience, education and geographical location. (Stated benefits are for full-time regular positions. Temporary and part-time roles eligible for limited benefits.) Columbus, OH: $63,770 - $91,100; Denver, CO: $70,147 - $100,210; Bellevue/Seattle, WA: $73,336 - $104,765.
