Selection made by committee and hiring supervisor based on review of on-line applications and results of personal interviews. Purpose

To perform administrative support for the Office of Graduate Admissions. Evaluate and process graduate admission applications.

Responsibilities
  • Evaluate applications and credentials for admission presented by graduate applicants. Perform evaluation of educational credentials and refer file to graduate programs for a decision.

  • Process graduate applications for special programs and correspond with applicants regarding missing credentials.

  • Process incoming documents and enter data from transcripts into mainframe database.

  • Process incomplete graduate file lists. Process special requests for expedited processing from graduate programs.

  • Provide customer service for graduate applicants including email, phone and walk-in service.

  • Verify incoming documents for authenticity and match to uploaded transcripts; match and merge test scores.

  • Other related functions as assigned.

Required Qualifications

At a minimum, High School diploma or GED required with three years' experience. Experience providing customer service and administrative support to students. Professional demeanor, punctuality, reliability, and good attendance are important. Strong interpersonal, administrative, and problem-solving skills. Excellent verbal and written communication skills with proven ability to effectively communicate with all levels of management and respond clearly and concisely. Demonstrated ability to engage and be motivated in the work environment. Self-starter, high level of time management and ability to prioritize workload. Candidate must be able to work in a high-volume office with multiple deadlines while maintaining accuracy and attention to detail. Ability to organize, prioritize, and multi-task. Exhibits ability to learn and apply new skills, and to adapt to a changing work environment. Experience in a fast-paced environment. Ability to display tact and professionalism, work cooperatively in the office environment, and provide excellent customer service. Ability to take initiative in working both independently and in cooperation with others. Demonstrated ability to make decisions and identifying and resolving problems in a timely manner.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Bachelor's degree strongly preferred. Admission experience and/or experience working with students. Demonstrated familiarity with student services and academic programs at UT Austin. Thrive in a multi-tasking environment. Demonstrated excellent analytical skills, problem-solving ability, and critical thinking skills. Experience working in a university environment. Extensive experience in a position that demonstrated advanced competency in direct customer service, problem solving, or related job knowledge. Demonstrated ability to learn tasks quickly with minimal supervision, flexibility with shifting priorities, exhibit customer service-oriented behavior and work under pressure while maintaining a high level of accuracy and attention to detail. Demonstrated ability to successfully build, nurture, and balance professional relationships to achieve tasks. Demonstrated ability to establish and maintain effective rapport with students, alumni, faculty, staff, and program stakeholders.

Salary Range

$48,000
