Job Description:

The primary duties of the qualified candidate involve researching and acquiring commercial real estate assessments, regulatory compliance documents, and construction-related permits from local and state agencies, then distributing these to the appropriate staff. Additional responsibilities include coordinating and tracking projects related to the daily production of environmental and engineering reports. This entails word processing, formatting technical documents, and assembling reports for client delivery. The role offers a dynamic work environment where strong organizational skills and meticulous attention to detail are crucial. Responsibilities:



  • Submit Freedom of Information Act (FOIA) requests to local and state agencies throughout the country
  • Independent property and agency research via the internet
  • Communicate with Rimkus staff and applicable agencies to ensure proper documentation is acquired
  • Distribute relevant project documents to staff/subcontractors as received from agencies or obtained through research
  • Maintain existing resources (agency contacts, FOIA letter templates, FOIA project tracker)
  • Submit check requests to Accounts Payable when invoices are received from outside agencies
  • Receive production requests and assemble the requested reports that will be delivered to our clients
  • Communicate with Rimkus staff regarding the status and completion of production requests
  • Ensure that report documents are correctly formatted (in Word, Excel, and Adobe) and that the reports contain accurate project information
  • Request any corrected or missing documents needed to complete a report in its entirety
  • Organize prior versions of documents and reports on SharePoint for record-keeping purposes
  • Assist in formatting updated technical documents and new report types
  • Maintain resumes and signatures of Rimkus staff and subcontractors while confirming the formatting of resumes
  • Assist in creating site location maps, site plans, and site vicinity maps using pertinent project information
  • Work with other Project Coordinators to assist in a wide range of administrative duties when necessary
  • Work from a remote setting with organizational support


What you will need:



  • Associate or Bachelor's degree desired
  • Minimum of five years work experience in a professional office setting
  • Independently problem-solve and work autonomously with a sense of urgency
  • Conduct yourself with business integrity
  • Ability to work in a fast-paced environment and meet deadlines without exception
  • Exceptional writing, grammatical, and verbal communication skills
  • Advanced computer literacy
  • Highspeed internet access


Physical Demands, Overtime, and Travel Requirements

Physical Demands - Work is performed primarily in an office setting. Employee is frequently required to stand, walk, sit, climb, bend, balance, stoop, kneel, crouch, talk, and hear. Employee may lift and/or move up to 25 pounds. Clear vision and depth perception are also necessary.

Overtime - This position is classified as salaried with an exempt FLSA status. Regular working hours are 8:00 a.m. to 5:00 p.m., Monday through Friday, with one hour for lunch. There will be periods where overtime will be required, which the employee will need to comply with in order to meet the demands of the position.

Language and Writing Skills - Must have ability to read, analyze, and understand information and ideas presented in writing. Ability to respond in writing or verbally to matter specific and general inquiries from management, peers, subordinates, clients, and external vendors. Must be able to produce and disseminate correspondence (i.e. emails, letters, etc.) as requested.

The Salary Range for this position is $50,000.00 - $58,000.00 and is dependent on education, experience, location and certifications/licensure.
