Minimum Education and Experience Requirements:

Education:

  • High School Diploma or GED required.
  • Associatersquo;s Degree and/or Bachelorrsquo;s Degree Preferred

AND

Experience:

  • 2 years of progressive administrative office experience.
  • 3 + years of administrative experience in an academic environment preferred.

Additional Information

  • Proficient with Zoom, Microsoft Word, Excel, Power Point.
  • Experience with EPIC amp; Point and Click.
  • Comfort in learning new technology.

Competencies (Knowledge, Skills, and Abilities Required):

  • Prepare purchase orders for outside purchases and vendors such as equipment and supplies, following procedures.
  • Complete appropriate request forms and follow up on all requests.
  • Order printed materials such as forms, stationery, business cards, etc.
  • Make travel arrangements for faculty. Make hotel reservations, prepare payment of registration fees, request expense checks for advances, SCC event planning, etc.
  • Maintain professional memberships, periodicals and subscriptions including expirations, renewals, payments, etc., for SCC providers.
  • Maintain faculty CV and bio sketches, and other support forms.
  • Perform other related duties as assigned.
  • Adhere to all Jefferson policies and guidelines.

Job Summary

Provides clinical and administrative support in the Student Counseling Center (SCC) within the Department of Psychiatry.

Essential Functions

  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
  • Administrative support to the Director and other providers within the SCC.
  • Perform independent administrative and general office duties involving answering phones, typing, record and file maintenance.
  • Provide all secretarial support, i.e. schedule appointments, maintain paper and computer calendars, coordinate all arrangements necessary for meetings, receive and screen telephone calls, compose and type routine correspondence, answer routine correspondence not requiring the supervisorrsquo;s attention.
  • Coordinate clinical administrative operations of the SCC related to scheduling, check-in amp; check-out activities with the SCCrsquo;s electronic medical record as well as EPIC.
