POSITION DESCRIPTION

OPERATIONS SUPPORT COORDINATOR I

POSITION OBJECTIVES: To provide prompt and efficient operational communication and direction; to provide members with prompt and accurate information; to provide administrative support and Technical support for the engineering and operations employees of the district office in order to help meet the objectives of the District and the Cooperative; to work and communicate in a team-oriented environment in accordance with the vision, mission and values of the Cooperative.

MINIMUM JOB SPECIFICATIONS:

EDUCATION: Require High school diploma or equivalent. Prefer specialized training beyond high school, including computer applications in typical office programs such as Microsoft Office Suite, especially Outlook, Word, and Excel.

EXPERIENCE: Require a minimum of one (1) year's experience in general office, administrative, engineering and/or clerical support.

KNOWLEDGE: Require a working knowledge of the duties of the position, including record keeping, correspondence and reports, keyboarding, filing, and office principles, methods, practices, and procedures for general office functions. Require the ability to pursue a continuous program of self-development both inside and outside of work hours in furthering his/her knowledge to develop in the job and accept increasing responsibilities.

SKILLS: Require effective leadership skills, excellent communication skills both written and verbal, and the ability to work in a team environment. Require the skills necessary to understand the duties and functions of the Engineering and Operations department and communicate to field employee's information and direction to accomplish those functions. Require general knowledge of and be skilled in the use of personal computers and typical office software. Require ability to receive, understand, and follow through with verbal and written instructions. Require the ability to meet and effectively communicate with people in a manner to gain understanding. Require communication skills necessary to assist engineering and operations personnel through the efficient utilization of radio equipment for purposes of assimilating and dispensing information and directions to department personnel. Require the ability to understand procedures, compose routine correspondence, and prepare report formats. Require the ability to perform neat and accurate work, determine priorities of work, meet schedules for accomplishment, and make recommendations for improvements. Require ability to discriminate and safeguard confidential information.

WORKING RELATIONSHIPS AND CONDITIONS:

Reports to: Operations Support Supervisor

Directs: None

Internal: Actively participates within the Cooperative team environment to develop supportive relationships essential to the success of the functions of this position, achieving the results expected and encouraging throughout the organization the concepts of teamwork and cooperative spirit.

External: Develops and maintains supportive relationships with member/consumers, the public, and other external contacts to assure positive results.

This position is primarily sedentary work; requires visual acuity in machine operation with inspection; requires ability to hear, talk, and perform repetitive motions; and is not substantially exposed to adverse environmental conditions.

ESSENTIAL FUNCTIONS:

Effectively communicates between Members, Developers, Builders, and Cooperative personnel concerning service availability, service problems, requests for temporary or permanent service, construction, and other related matters.


  1. Inform New Members, Builders, Developers and interested parties on work process, needed information, next steps according to established procedures.
  2. Provide administrative and NISC support for the district engineering and operations section as required or directed.
  3. Maintain a working knowledge of the Cooperative service area, its district territories, and other divisions and assignments to properly route information and make routine work assignments.
  4. Process inspection approvals on all temporary and permanent services and record according to departmental procedure.
  5. Manage and release work orders and service orders with appropriate workflow and equipment. Assign appropriate personnel utilizing NISC to ensure accuracy between operations and billing according to departmental procedure. Troubleshoot workflow issues when necessary.
  6. Provide proper recordkeeping and quality assurance for completed work orders according to departmental procedure. This includes reviewing work to ensure appropriate ties between accounts, meters, and transformers so that billing and GIS records match work performed.
  7. Manage petty cash per cooperative procedures.
  8. Work with operations to update on-call schedules in call out software, as necessary.
  9. Process line inspection reports, pole inspection activities, easements and other departmental activities and data as directed.
  10. Answer the telephone and route calls to appropriate engineering and operations personnel as required.
  11. Provide routine and emergency locates through Georgia 811, as necessary.
  12. Create National Joint Use Notification System (NJUNS) tickets for pole transfers and removal. Track tickets until steps are completed to close ticket.
  13. Assist during emergency outage situations as required according to departmental procedure.
  14. Attend and participate in annual meeting as required or directed.
  15. Be familiar with and follow the best safety practices set forth in the Cooperative's Safety Manual.
  16. Provide support for district uniform program. Understand and be familiar with company policies and procedures. Process uniform requests, records, orders and returns, as necessary. Maintain individual records pertaining to purchases and allotment.
  17. Provide support to the Job Training and Safety Section pertaining to CDL records, appointments, and processing.
  18. Volunteers for community involvement as requested.
  19. Perform such other duties as may be required or directed.
