Organizational Unit Overview |
The mission of the Office of Student Financial Aid is to offer a comprehensive financial aid program that attempts to meet the financial needs of all university students, utilizing aid programs from all sources students are believed to be eligible, designing financial aid packages in ways which assist students in achieving a quality education and support their academic objectives. Further, to remain eligible to participate in all available funding sources by maintaining compliance and providing data to funding sources and campus partners. |
Job Duties |
Master Timekeeper - 25%
This position is responsible for keeping track of accumulated leave for each employee in the Office Student Financial Aid, West Campus Satellite Office, and Student Financial Services Call Center which makes up about 30 staff members. Position takes a daily 'roll call' and sends a 'daily update' to all staff so supervisors may arrange coverage for any gap; every pay period end the position works with individual supervisors to ensure all staff complete and sign their time in Kronos; this position also approves time sheets of all work study and temporary staff in the department; once all time is submitted, positions role as master timekeeper is to ensure have sufficient vacation or sick leave to cover any outage; reduce payroll as needed for staff who do not have sufficient time. Complete all of these tasks before the payroll deadline.
Personnel Actions - 30%
This position coordinates all personnel actions in the Financial Aid Office, the West Campus Satellite Office, and the Student Financial Services Call Center which makes up about 30 staff members. The position explains, implements, and coordinates bi-annual evaluations with supervisors in the departments. Writes and updates all job descriptions as needed, in conversation with each positions supervisor; responsible for posting all open positions as they arise; coordinating with the supervisor of each position and making any changes to existing positions descriptions; arranging interviews with potential candidates; submitting screening and compliance reports to Human Resources; completing EPAFs for each new hire, transfer, reclassification, or promotion; and completing all forms and paperwork for each exiting employee. Position is responsible for posting and filling any temporary positions the Department(s) require during peak periods (fall and spring start-up). Position also monitor's the available personnel budget and makes budget transfers as necessary to ensure funds are available to cover salaries. This position must have working knowledge of State personnel rules and guidelines as well career banding terms, practices, and procedures. The position must be able to implement guidelines and explain them to the Director and Department staff.
Managing budget/purchasing/contracts - 40%
This position is responsible for maintaining the inventory of necessary materials to keep staff in all three locations supplied to do their work. Monitor and maintain budget to ensure that purchases do not exceed available funds. Consult with Director on requested equipment/travel/supplies if unsure of the necessity or cost. Supply the director with monthly reports on status of budget throughout the year. Position will inventory and monitor all hardware - all office equipment; keep, renew, and update all service agreements and warrantee on office equipment. Order replacement computers or equipment as needed. Interpret and report on state policies and procedures for use of funds. Monitor and manage three small, institutional trust funds in addition to operating budget. Plan, analyze and anticipate needed purchases from printing and graphics, for example, and forecast impact on budget. Suggest needed changes to processes or procedures to attempt to conserve funds. Position will work with Systems and Counseling staff to review and update annual forms prior to requesting large print jobs. Advise Director on Travel rules and regulations for staff professional development. If travel is approved, prepare, and submit reimbursement paperwork on behalf of staff for reimbursement.
Clerical - 5% Position receives from the Athletic Department notice of cancellation of scholarship. Write to all students on behalf of Director and notify them of the appeals process. Collect student athlete responses and forward to Director to carry to the Student Academic Appellate Committee to hear. Notify the students of the outcome of that hearing. Position will keep the appointment calendar of students/parents requesting meetings with the Director. |
Minimum Education/Experience |
Bachelor's degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. |

- Knowledge and experience with People Admin.
- Kronos timekeeping.
- Banner Finance and Pro-Card.
- North Carolina regulations on purchasing for state institutions.
