Position Summary
The Executive Assistant to the President serves as a strategic partner and assistant in managing multiple aspects of the President's professional and personal calendar. This dual role requires exceptional organizational abilities, digital proficiency, and business acumen. It combines traditional executive support with modern business technology and practices to ensure optimal efficiency and effectiveness of the President's office. The position requires managing complex digital and in-person communications, coordinating high-level meetings across multiple platforms, and serving as a key liaison between the President and internal/external stakeholders.
Core Responsibilities
- Calendar Management: Provide sophisticated calendar management using modern scheduling tools and AI platforms to optimize the President's time, including coordinating complex hybrid and in-person meetings across multiple time zones.
- Meeting Coordination: Assist with the planning and execution of virtual and in-person Management meetings, Board meetings, Shareholders meetings, and other special events as requested.
- Presentation Development: Create and manage presentation materials using advanced software tools and systems.
- Personal Support: Handle personal requests and arrangements to maximize the President's time and efficiency.
- Special Projects: Lead special projects with company-wide impact, utilizing project management software and collaborative tools to ensure successful execution.
- Communications Management: Serve as the primary point of contact for the President's office, managing multi-channel communications, including video conferences, digital platforms, and traditional correspondence.
- Travel Coordination: Organize sustainable and efficient travel arrangements, balancing business needs and environmental impact.
- Confidentiality: Manage sensitive information with the highest level of discretion, implementing appropriate digital security protocols and compliance measures.
- Team Leadership: Provide direct supervision and leadership to the Office Administrator.
Education and Experience Requirements
- Education: Bachelor's degree preferred.
- Experience: Minimum of 10 years supporting C-level executives in a corporate environment.
- Proven Expertise In:
- Managing digital calendars and scheduling systems.
- Advanced proficiency in Microsoft 365 suite.
- Coordinating in-person and virtual meetings and events.
- Handling confidential information with appropriate digital security measures.
- Leading projects using modern project management methodologies.
- Building relationships across virtual and in-person environments.
- Utilizing digital filing and document management systems.
- Operating video conferencing platforms (Teams, Zoom, etc.).

Physical Requirements
- Performance: Ability to safely and successfully perform essential job functions consistent with the ADA, FMLA, and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
- Attendance: Regular, punctual attendance consistent with the ADA, FMLA, and other applicable standards.
- Travel: Ability to travel domestically when required (approximately 10-15% of the time).
