JOB SUMMARY

OTC Industrial Technologies is looking for a highly organized and self-motivated Events & Promotions Coordinator to join our growing team. Working under the direction of the Graphic Design Team Manager, the Events & Promotions Coordinator will involve overseeing all aspects of event coordination, including vendor management, marketing materials, event execution and on-site event support. The ideal candidate will be proactive in a fast-paced environment, organized, and capable of working with minimal supervision, while also collaborating with management on complex or non-routine issues.

PRINCIPAL ACCOUNTABILITIES

Responsibilities will include but are not limited to:

1. Oversee and direct the logistics of event planning, implementation and follow-up. This includes all aspects of event coordination: invitations and marketing collateral materials, communications and vendor contracts.
2. Offer on-site support for OTC events, branch openings, tradeshows, and any other special events as needed.
3. Manage the creation and coordination of promotional apparel and materials, ensuring timely delivery and quality standards.
4. Work with internal and external design teams to support event design and ensure all creative elements align with event objectives.
5. Oversee inventory and operations for company store, including merchandising and store management.
6. Coordinate with third-party video production vendors to create high-quality video content for events and promotions of brands, products or services.
7. Create engaging promotional materials using Canva and Adobe for events, promotions, and internal communications (e.g., invitations, menus, flyers, promotional pieces).
8. Coordinate the distribution of branded materials and maintain inventory.
9. Code and route invoices to ensure timely payment.

EDUCATION & EXPERIENCE

• Minimum 1-3 years of event planning, design or marketing
• Proven event coordination experience with a strong understanding of logistics, vendor management, and on-site support.
• Exceptional ability to organize, prioritize and follow through with great attention to detail on multiple, simultaneous projects.
• Ability to assess a problem or situation to accurately identify probable causes and solutions.
• Ability to multi-task in a fast-paced environment and meet deadlines.
• Professionalism in handling difficult situations; ability to respond in a timely manner to all requests.
• Negotiation capabilities
• Ability to collaborate effectively and work cross functionally with other team members.
• Ability to travel up to 60% in conjunction with business needs to support events.
• Proficiency in Canva and Adobe software for creating visually appealing promotional and presentation materials.
• Ability to lift objects up to 50 lbs.
