Firetrol, founded in 1984, is a national leader in fire protection and life safety services. We are currently seeking a full-time Inspections Coordinator/Scheduler to join our team. Under the direction of the Office Manager, this position is responsible assisting with all aspects of the execution of all inspections to stay in compliance with The State of Oklahoma regulations. Along with all billing and invoicing needs. Customer interaction is a must. Knowledge of Fire Sprinkler, Fire Alarm, Fire Suppression, Backflow & Fire Extinguishers is preferred. The successful candidate will oversee multiple administrative duties, which include:
- Bill work orders in accounting system (GreatPlains and ServiceTrade) and distribute invoices and any backup documentation to the customer in a timely manner.
- Set up new customers and work orders efficiently.
- Set up, maintain and update inspection contracts regularly.
- Generate monthly work orders and transmit them to ServiceTrade within the appropriate timeframe.
- Schedule inspections with customers in a timely manner.
- Proactively communicate with customers before the scheduled date of inspection to confirm arrangements.
- Adjust technician schedules as necessary to accommodate customer needs and service dates.
- Submit required documents to compliance portals as needed.
- Answer incoming phone calls professionally and assist customers as required.
- Maintain a clean and organized work environment.
- Provide efficient and professional administrative and clerical service to colleagues and supervisors.
- Perform additional duties as assigned once familiar with our systems and processes
- Support the business with various responsibilities as required.
- Experience working with fire protection service coordination and administration is preferred, but not required.
- Experience with dispatching is preferred, but not required.
- Attention to detail is a MUST.

- Ability to manage multiple tasks and changing priorities
- Ability to quickly learn and adapt to multiple business software platforms
- Strong proficiency with Microsoft Office (Outlook, Excel, Word)
- Experience in fire protection or similar role preferred
- Have an understanding of construction environments and safe work practices.
- Strong computer skills are required.
- Experience with Microsoft Great Plains and ServiceTrade software preferred
