General Responsibilities
The advising specialist is responsible for providing information to students about academic advising and will coordinate communication, activities and events aimed at enhancing retention at the college. They will provide students with academic planning and advising support, and interventions that they need to be successful in their academic careers. The advising specialist will cultivate strong relationships with internal and external stakeholders to support and assist students in their academic journeys and serve as the advising office liaison with the Howard Hub. A successful academic specialist supports both students and advisors within the Advising Office.
Work Performed

  • Identifies, advises, and informs students, providing comprehensive support and clear communication to ensure credential/degree completion.
  • Manages assigned caseload, making referrals, and connecting students to college, community support and resources (e.g., disability support services, career services, transfer services, military and veteran support, financial assistance, and basic needs) and ensures follow-up for service completion.
  • Employs technology to assist students with navigating the support and resource processes at the college and within the community.
  • Delivers ongoing quality communication and customer support through consistent and effective outreach and follow-up (phone and digital), ensuring regulatory compliance.
  • Collaborates with public relations and marketing to create, maintain, and promote advising resources for students.
  • Provides administrative support for the advising office, including data development and entry, student file maintenance, and reporting.
  • Creates a warm and welcoming environment for students.
  • Serves as liaison to the Howard Hub.
  • Updates and tracks grant reporting on student award allocation, persistence, and completion.
  • Works with the planning research and organizational development (PROD) office to ensure accuracy in assessment and reporting.

  • Minimum bachelor's degree or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job. All degrees must be from a recognized institutional accreditor.
  • Knowledge of Ellucian Colleague information system preferred.
  • Experience coaching or advising students, or similar human services.
  • Competency in organizing data and preparing reports.
  • Proficiency with Microsoft Office applications (Outlook, Teams, Word, and Excel).
  • Excellent interpersonal, written, and oral communication skills; confidence speaking with individuals from diverse backgrounds.
  • Self-motivated with the ability to work independently and set priorities to achieve goals and objectives.
  • Demonstrated ability to foster a cooperative team-focused work environment.
  • The ability to contribute to a dynamic, student-focused team culture that delivers excellent customer service and personal attention to students and families.

  • Ability to manage a multitude of tasks in a fast-paced student-oriented office required.
  • Ability to maintain strict confidentiality of work-related information and materials while abiding by state and federal privacy laws including FERPA.


OTHER REQUIREMENTS

  • Regular attendance and an ability to work mornings, evenings, and/or weekends consistent with college needs.
  • Criminal background check.
  • Performs all duties while considering the impact of any actions on the college's sustainability initiatives in the areas of environmental stewardship, social responsibility, and economic prosperity.

Working Conditions
Work extended hours during peak periods, including evening and some Saturdays. Extensive follow-up work, database use, responding to inquiries, meetings, etc. Ability to manage changing priorities in a fast-paced environment. Flexibility required.
