Overview

The Human Resources Assistant is a full-time clerical position within the Human Resources department which shall support the employment/employee relations division and the payroll and benefits division as needed. This individual will serve as a department receptionist, prepare and input data for all newly hired and terminated employees, and process status changes for designated departments and branches. This individual will perform multiple clerical and technical duties related to the employment functions and will timely file and maintain employment paperwork.

Responsibilities

    Act as department receptionist
  • Verify new-hire data, status change data, and payroll data in HRIS systems
  • File information for active, terminated, and retired employees
  • Serve as back-up for other Assistants as needed
  • Serve as back-up for various other functions in Human Resources
  • Respond to requests for Verification of Employment
  • Order supplies and maintain supply room organization
  • Request credit and background reports for potential/new employees
  • Prepare correspondence related to Adverse Action (credit/criminal) letters
  • Process new hire files, termination files, and changes for assigned area of responsibility
  • Create and complete E-Verify cases timely
  • Notify various departments of new hires, terminations, and other status changes to ensure proper systems and access are enabled or disabled timely
  • Timely file all employment and benefit related paperwork for employees
  • Create and maintain HRA input log and electronic files
  • Oversee and assist with upkeep and supplies for HR team
  • Reset employee passwords on various HRIS application systems
  • Assist with the sorting of the mail for headquarters as assigned
  • Participate in department wide projects
  • Communicate with applicants, employees, managers, and third parties on a daily basis
  • Actively learn and stay abreast of all HR procedures, policies, and initiatives
  • Regular, prompt, and consistent attendance is an essential requirement of this job
  • Perform other related duties as assigned


Qualifications

  • High School diploma or equivalent
  • Ability to communicate tactfully and professionally with management, employees, applicants, and third parties
  • Proficient in Microsoft Word, Excel and Outlook
  • Ability to read and comprehend instructions, policies, regulation, and memos
  • Ability to write short memos and letters and prepare forms and other correspondence
  • Basic knowledge of bank terminology
  • Ability to read and understand the personnel practices and policies of the bank
  • Ability to communicate in one-on-one and small group situations to managers, executives, employees, and applicants
  • Ability to understand the responsibilities of the various departments and personnel within the bank
  • Ability to answer basic questions about the bank's benefit programs and employment policies
  • Maturity and dependability to protect the confidential nature of personnel business and information
  • Aptitude to learn multiple computer systems and software quickly and proficiently
  • Ability to plan and organize tasks to meet the needs of the department and unexpected assignments
  • Ability to work overtime
  • Ability to travel for training and meetings

Employees may be exposed to confidential and propriety information within the working environment, therefore, must uphold confidentiality at all times.
