Position Overview
As a Recruitment Coordinator at the University of Kansas you will be a key member of the Talent Acquisition Centers of Excellence team in Human Resources. Duties will include responsibility for guiding and supporting the recruitment and onboarding of our new hires. This role involves coordinating various aspects of staff recruitment activities from job posting to onboarding transition, outreach, and networking to ensure a positive and efficient experience for our candidates and search teams.
This position will have a hybrid work arrangement.
Job Description
Staff Recruitment - 55%
- Serves as a subject matter expert and liaison for the HR Partner, Unit, and Search Committee to provide recruitment guidance, consultation, and expertise in alignment with federal guidelines, university policies, and procedures for staff recruitment activities.
- Reviews, audits recruitment plans and posts approved position descriptions, coordinating with the HR Partner, Senior Recruiter or Compensation Team as appropriate. Reviews position title, job family/classification assignment, FLSA status, and updates position attributes in the HRIS system; coordinates position number assignment/position control validation, and advises on recruitment exception process.
- Works with the HRM Compensation team regarding title assignment and general pay guideline issues.
- Coordinates search activities, providing consultation regarding advertising and outreach initiatives. Promotes employment opportunities across social media platforms and sources for prospective candidates.
- Assists applicants with questions on specific application process and status, sends system notification of application outcome to candidates, generates online offer letter (ensuring memorandum of agreement requirements are met as needed), manages and reviews background check completion and results, updates PeopleSoft panels for position management activities, ensures supporting/organizational documents are collected for compliance purposes and monitors recruitment processes to ensure university guidelines are followed. Works with Recruitment Director to evaluate issues related to the search process. Assists with the resolution of issues and concerns.
- Manages recruitment exceptions (search waivers and personnel actions) in coordination with the Compensation Team and supervisor.
- Generates offer letters for limited term extensions/renewals as needed.
- Works with Recruitment Director to evaluate issues related to the search process. Assists with the resolution of issues and concerns.
- Works with International Employment Advisor Sr. or International Scholar Services with any visa related issues.
- Provides guidance regarding employment vs. affiliate positions.
- Works assigned tickets responding to questions or requests that require more than tier 1 level of support. Resets passwords for applicant, answers general questions from employment website, etc.
New Employee Experience - 15%
- Works with the Onboarding Specialist Team and the new employee to ensure a positive new hire experience.
- Assists with new hire orientation programming and development as needed.
Networking & Outreach - 15%
- Participates and identifies outreach opportunities to promote brand recognition and showcasing the university as an employer of choice.
- Engages with social media, job fairs, and campus visits for candidates.
- Liaises with units to provide connections and updates to strategic offerings with recruitment services.
Compliance, Training & Reporting - 10%
- Generates and analyzes recruitment data reports to identify trends, assess the effectiveness of recruitment efforts, and make recommendations for continued improvement.
- Maintains accurate and up-to-date records of information, communication history, and recruitment activities. Provides ad-hoc reports to HR Partners/units served as requested.
- Participates in projects to build efficiency and training programs/resources for stakeholders.
Other Duties as Assigned - 5%
- Actively Participates in professional development activities to promote learning and growth.
Position Requirements
This position is hybrid - working three days in office at the Lawrence, KS campus and two days remotely.
Required Qualifications
- Bachelor's degree plus a minimum of two years related professional-level work experience OR a high school diploma/GED plus a minimum of six years of related professional-level work experience.
- Computer skills in a PC/Windows environment including MS Word and MS Excel as demonstrated by application materials and previous experience.
- Excellent written communication skills and attention to detail as demonstrated by application materials.
- Experience in building collaborative relationships/partnerships.
- Demonstrated experience handling confidential information with discretion.
Preferred Qualifications
- Bachelor's degree in human resources management or related field or HS Diploma/GED with four years experience in human resources or recruiting.
- PHR or SHRM-CP Certification.
- Experience in recruitment, talent acquisition, human resources, benefits, communication and/or training at the University of Kansas.
- Experience directly related to providing education or training in subject areas such as human resources, recruitment, affirmative action, equal opportunity.
- Experience using an HR ERP (Enterprise Resource Planning system), e.g. PeopleSoft.
- Analytical and problem-solving skills.
- Ability to work independently in a team environment, take ownership of the resolution of problems, be flexible and accountable, manage conflicting responsibilities, prioritize tasks, and consistently meet deadlines.
- Ability to establish and maintain effective working relationships with all levels of constituents in a higher education environment.
- Experience in actively sourcing applicant pools for qualified talent.
