Summary:
This role is responsible for implementing procurement strategies and managing sourcing activities related to travel programs, systems, and processes within the organization. Additionally, this role will provide support for indirect sourcing for clinical trials and associated activities, as well as commercial & general administrative activities.

Responsibilities

Essential duties and responsibilities:
1. Indirect Sourcing:
o Support clinical trial and other departmental and individual cost savings and value creation goals.
o Identify, evaluate, and negotiate with clinical suppliers and 3rd party vendors supporting commercial and general administrative activities to secure optimal pricing, terms, and service standards.
o Work closely with clinical teams and commercial and general administrative departments to understand business needs.
o Participate in the management of supplier performance with appropriate key performance indicators.
o Support the requisition and contract review processes, ensuring alignment with procurement-to-pay procedures and approval workflows.
2. Travel Services Sourcing and Management:
o Manage the procurement of travel services, including air travel, accommodation, ground transportation, and car rentals, ensuring cost efficiency and quality of service.
o Oversee travel services, agency and account management and expense reimbursement processes and related systems.
o Ensure negotiated rates (hotels, car rentals etc.) are available, utilized and honored.
o Track and analyze travel expenses, providing regular reports on spending trends, cost savings, and opportunities for improvement.
o Support, educate and train employees and conduct structured audits to ensure compliance with travel and expense policy.
o Ensure compliance with SOX 404 for all processes, maintaining controls and documentation.
3. Collaborate with cross-functional teams, including clinical development, commercial, finance, legal, and operations, to ensure alignment in sourcing strategies and business needs.

4. Other ad hoc analysis / projects as deemed appropriate.

Supervisory Responsibilities:
This role does not have supervisory responsibility.

Interactions:
Work closely with business partners including clinical and related departments in support of clinical trial activities, and across entire organization in support of travel and employee expense reimbursement activities.


Qualifications

Education and Experience:
o BA/BS in Business, Science, Finance or Operations related field required
o Graduate degree in Business or APICS, CPSM, CPSD, and/or NAPM certificate or other procurement certificates preferred
o 3+ years of sourcing experience with focus on travel management required
o Experience supporting clinical trial activity and/or commercial activities a plus
o Purchasing card administration experience preferred
o Industry experience in pharmaceutical, medical device, and/or biotechnology preferred

Knowledge, Skills, and Abilities:
* Excellent negotiation, analytical, and problem-solving skills
* Strong interpersonal communication skills
* Analytical Skills & Project Management including Excel skills for data analysis
* Demonstrated ability to work effectively with people at all levels of the organization

Physical Demands:
While performing the duties of this job, the employee is regularly required to sit, talk, move between spaces, reach with hands and arms, and stoop. Close vision and the need to focus on computer screen, use of hands, fingers, and wrist to type on keyboard and manipulate mouse.

Work Environment:
Typical office setting, staff in cubicles, noise level is moderate with consistent printer, telephone ringing and conversation.
