Overview
The Secretary 1 Receptionist (SCA 01311) performs a majority of duties related to travel management support. Position also includes receptionist services.
Responsibilities
Prepare and coordinate travel arrangements in the government's travel systems: Planning Data for Approving Travel (PDAT) and Concur. This includes travel authorizations, vouchers, reports, etc.
- Prepare, route, coordinate and perform quality check on all foreign travel requests that are routed through the Foreign Travel Management System (FTMS). This also includes other National Labs or contractors that will be traveling using NETL funding or NETL research.
- Process visas and passport applications.
- Maintain spreadsheet of Government passport expiration dates, send renewal notices, and file Government passports as needed.
- Provide notifications to travelers of approved foreign travel.
- Assist traveler in coordinating with appropriate office to obtain passport and/or visa.
- Provide ad hoc queries of FTMS for travelers.
- Provide receptionist services in Pittsburgh to include maintaining lobby area, directory marquees, brochures, maps, directions; receive and distribute delivered items; general clerical support; assist visitors and maintain logs.
Other duties as assigned to ensure timely project execution.
Qualifications
- High school diploma and 2 years' professional office experience in administrative, technical and/or customer service function.
- General administrative support experience.
- Travel management/administration experience. Use of PDAT and/or Concur systems a plus.
- Proficiency with Microsoft products (Word, Excel, PowerPoint, Outlook). Ability to learn government software programs and systems.
- Experience in operating general office equipment (fax, copiers, and printers)
- Effective interpersonal and communications skills.
- Detail oriented.
- Excellent attitude, courteous and professional demeanor, and enthusiastic team member.
Preferred Responsibilities/Requirements
- Associate degree in Business Administration or related field with at least five (5) years of job-related experience or equivalent including SharePoint.

Hours of Work
- This is typically an 8 hour per day daylight schedule.
