The Opportunity:

Join our Planning, Design, and Construction (PDC) team as a key leader overseeing the Construction Support Team. This role plays a vital part in managing administrative project processes including assigning, coordinating, tracking, and closing projects. You will work closely with the Assistant Vice President (AVP) of PDC, PDC Project Portfolio Managers, the Planning and Design division, the Information Technology and Operations division, and Utilities and Engineering Services' (UES) Maintenance Planners. Additionally, you will oversee the selection process and post-project evaluations for architects, engineers, construction managers, and Continuing Service Contractors through the Construction Project Coordinator.

In this position, you will also guide the Applications Manager on the Database Service Team for Facilities and Business Operations' (FBO) Project Management Information System (PMIS), responsible for conceptualizing, developing, testing, implementing, and maintaining data reporting and analytics. You will manage project management processes across the five Project Portfolios, the Planning and Design Division, and UES's Maintenance Planners. As a critical member of the PDC leadership team, you will contribute to the development of processes and strategic direction for PDC. Work will be performed under the supervision of the AVP, PDC.

Responsibilities:


  • Lead the PDC Construction Support Team, overseeing services for the Planning and Design, Design and Construction, IT Projects, and UES Maintenance divisions. Supervise Project Coordinators and Assistants, ensuring accurate processing of project intake and close-out in the project management system. Provide input on project monitoring/reporting and contribute to the strategic direction of PDC.

  • Serve as the primary liaison for the department's PMIS, collaborating with the Applications Manager to support FBO staff, campus stakeholders, and vendors. Guide system use, project setup, updates, and close-out processes. Partner to develop, test, and implement new reports and data tools, and manage system testing and troubleshooting.

  • Oversee the administrative processes for 300+ annual projects, including request collection, organization, approval, and vendor selection. Ensure project compliance with schedules, budgets, deliverables, and UCF standards, while addressing issues in design, construction, permitting, and close-out processes.

  • Lead integration efforts with FBO departments, Administration and Finance, and the ERP software team. Generate and distribute reports, ensuring data accuracy. Continuously seek process improvements, develop forms, and contribute to updates in the Project Manager Manual.


Minimum Qualifications:

Bachelor's degree and 2 years of relevant experience; or High School Diploma (or equivalent) and 6 years of relevant work experience in lieu of degree. Or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:


  • 5+ years experience in project support or a similar role within the construction industry, with proven experience overseeing project support functions including intake, planning, design, and close-out.

  • Demonstrated experience in leading and managing teams, with strong mentoring, training, and performance management skills.

  • Experience collaborating with project management information system teams to facilitate reporting needs. Familiarity with Project Management Information Systems such as Trimble Unity Construct, Procore, or similar systems is highly desirable.

  • In-depth understanding of construction project processes, including project intake, scheduling, budgeting, vendor selection, permitting, and project close-out procedures.

  • Knowledgeable in job solicitation, including vendor selection, contract management, and maintaining positive client relationships.

  • Bachelor's degree in construction management, or a related field. Advanced degrees or certifications related to the construction field (e.g., PMP, CCM) are a plus.

  • Excellent verbal and written communication skills, with the ability to interact effectively with internal teams, stakeholders, and external vendors.

  • Strong analytical and problem-solving skills, with a proactive approach to identifying and resolving issues.

  • Ability to work effectively in a dynamic environment, manage multiple priorities, and adapt to changing project needs.
