HJF is seeking an Admissions Counselor to work directly with the Dean and Director of Admissions in planning, coordinating, monitoring, and facilitating the processes to accomplish admission and matriculation of applicants to the USU MD program. Performs a wide range of administrative and admissions duties. Serves as admissions counselor for 500 to 800 medical school applicants. This includes tracking students from their initial school application to matriculation. This process requires event planning, and post interview visits, The use of the "WebAdmit" on-line application system, Microsoft Office and other software packages is required. Preparing correspondence to applicants to provide on-going direction and interim and final decision for acceptance or rejection.

This position will be in support of USU-PESMOA, SOM-ADM.

The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. We serve military, medical, academic and government clients by administering, managing and supporting preeminent scientific programs that benefit members of the armed forces and civilians alike. HJF's support and administrative capabilities allow military medical researchers and clinicians to maintain their scientific focus and accomplish their research goals.


Responsibilities

  • Counseling applicants for admission requirements, required academic prerequisites, military letters of approval, military obligations, salary and benefits, school curriculum, and other application protocol.
  • Application review of initial file to ensure that prerequisites are met in order for further consideration, secondary review that file contains all required documents for Admissions Committee consideration.
  • The entire suite of correspondence to prospective and current applicants. This includes letters concerning prerequisites, admissions status, conditional and unconditional letters, military training, housing allowance, and associated matters. Computer fluency required to complete on-line and office tasks. This includes WebAdmit, AMCAS, and Microsoft Office applications.
  • Event planning for post interview school familiarization, open houses, and "Second Look" visits. Process planning for these events includes program design, funding, ordering and delivery of meals and subsequent meal payment processing. Schedule auditorium and/or appropriate size rooms. Responsible for coordination of tours at the Val Hemming Simulation Center (scheduling of visit dates, inviting interviewees, base access, logistics for bus transportation, and accompany visitors to the Center). Schedule speakers for the event.
  • Medical school program briefings to include attending college fairs, and coordination with the recruiting team.
  • May perform other duties and responsibilities as assigned or directed by the supervisor. This may include attendance of and participation in required trainings for role.

Qualifications

Education and Experience

  • Associate's degree required. Bachelor's Degree preferred.
  • 3-5 years' experience required

  • Superior written and oral communication skills
  • Strong interpersonal skills: ability to practice active listening to understand the needs and concerns of [prospective] students, to effectively engage with all stakeholders.
  • Efficient event planning and coordination.
  • Strong organizational and time management skills: ability to handle multiple priorities and meet multiple deadlines.
  • Problem-solving and critical thinking ability.
  • Experience in recruitment, guide, and support students throughout admissions process.
  • Strong computer and data analysis skills.
  • Ability to obtain and maintain a T1/Public Trust Background check.

Work Environment

  • This position will take place primarily in an office setting.

Physical Capabilities

  • Ability to stand or sit at a computer for prolonged periods.

Compensation

  • The annual salary range for this position is $57,650-$80,000. Actual salary will be determined based on experience, education, etc.
