Under the direction of the Program manager of the Pediatric Audiology Program at Yale New Haven Children's Hospital, the Audiology assistants functions are to perform clerical duties and ordering of hearing devices for the pediatric population. Primary responsibility includes constant communication with pediatric audiologists to ensure patients needs are met. A key responsibility includes organizing the incoming and outgoing supplies for patients and coordination of supplies across multiple centers. Attention to detail and self-motivation is critical for this position. Successful candidates will be able to work well with a team and improve the current workflow in the position.

Responsibilities

  • 1. Work with the pre-determination team at YNHH to ensure insurance benefits for hearing aid patients are available at the time of the scheduled appointment
    1.1 - Ensure referral shell is in the referral tab
    1.2 Check prior to patients hearing aid evaluation to make sure that benefits are verified
    1.3 Communicate with patients as requested by the Audiologists
  • 2. Assist with management of the Pediatric Audiology work queue to ensure patients are scheduled accurately
    2.1 - Review schedules to determine errors and/or room conflicts
    2.2 - ensure correct scheduling codes are being utilized for patient appointments
    2.3- Communicate effectively with the team to ensure patients have the devices and supplies they need
  • 3. Complete charges in the charge review work queue to ensure proper charge amount to patients, insurance companies and third party payers
  • 4. Manage clinical supplies and order necessary supplies through INFOR and in a local database to ensure fiscal responsibilities
    4.1- Order, track and check in hearing aids and ear molds for rehabilitation patients through INFOR and in EPIC
    4.2- Order, track and check in cochlear implant and implantable supplies/repairs in EPIC
  • 5. Complete patient appointments and follow up needs
    5.1- Contact patients to schedule hearing test and hearing aid checks; hearing aid evaluations, hearing aid pick up appointments
  • 6. Ensure compliance with documentation, billing and compliance for YNHHS and regulatory agency requirements
  • 7. Send out reports, documentation and other necessary paperwork to patients, schools, educational audiologists, Birth to Three providers to ensure continuity of care for patients and families
  • 8. Work with Pediatric Audiologists and Otolaryngologists to develop and maintain a hearing loss database to track individuals with hearing loss and keep a list of intervention choices
    8.1 - Attend meetings with ENT physicians
    8.2 - Provide follow up either via phone or letter form to patients with the need for follow up or new intervention options
  • 9. Be a liaison between families and the pediatric audiology team to express concerns, needs and ensure the patient is well cared for
  • 10. Is flexible to meet the changing needs of the program including support for the pediatric audiologists

Qualifications

EDUCATION

High School diploma. Some business courses at the college level or technical school experience strongly preferred.

EXPERIENCE

Working knowledge of hearing devices preferred.
1 to 2 years functioning in an administration support role is required.
A good working knowledge of the EPIC electronic medical system is required, as well as prior experience with insurance authorizations and communications.

LICENSURE

Hearing aid Technician certification a plus- not required

SPECIAL SKILLS

The administrative assistant must be organized and willing to learn new skills. Skills: Good interpersonal skills are a must. A good working knowledge of personal computer software packages (Word, Excel, PowerPoint) is a must. A working knowledge electronic medical record system. Knowledge of medical terminology- audiology terminology is a plus.

PHYSICAL DEMAND

Must be able to care up to 15-20 lbs with ease.
