If this sounds like you, we'd love to meet you! What Will You Be Doing? As the Legal Coordinator, you are the "glue" that holds together the legal department. In this role, you will perform administrative functions at an executive level, requiring a high degree of independent judgment, discretion and knowledge of the organization. The successful candidate will be self-motivated to work independently on a large variety of projects, many of which are complex and detailed. What Will a Typical Day Look Like? We move fast around here, so odds are, no two days will be exactly the same. But in the course of an average work day, we can promise that you will be involved in some or all of the following:
- Assist Sirva's legal team with special projects as assigned by General Counsel.
- Manage corporate matters, including tracking board and committee activities; assist with tracking of company-wide compliance training; track corporate stock information; and manage/maintain record sets).
- Manage record keeping, data input and data analysis; summarize data for reports maintained by the Sirva legal team.
- Act as liaison to Sirva's finance team to verify monthly balances, allocations and account questions. Obtain approvals and process payment of invoices litigation, cargo, tax filings, etc., and allocate expense to proper account department.
- File Annual Reports (Secretary of State)
- Provide administrative support to General Counsel as well as other members of the legal department.
- Assist with preparation and dissemination of board resolutions and consents.
- Assist with maintaining/updating corporate structure charts.
- Audit liaison for quarterly reviews, updates on shareholder information, minutes, structure charts, and annual audit letters.
- Manage corporate memberships.
- Order certificates of good standing upon request, obtain Apostilles and legalization of corporate documents.
- Prioritize and sort incoming mail, order office supplies, coordinate meetings, prepare expense reports, and maintain filing system.
- Additional tasks as directed by Sirva legal team.
Qualifications and Skills
- High School diploma required
- Associate's degree preferred
- Proficient use of Microsoft Office, Word, Excel, PowerPoint, Outlook, Adobe Acrobat
- Notary Public license (or willingness to get one upon hire, at cost to Sirva)
- Proficient in operating a variety of office equipment, including computers, audio equipment and copy machines.
- Excellent communication and analytical skills
- Strong organizational, project management and problem-solving skills
- Knowledge of basic legal terminology, processes, documents, cash flow, and accounting
- Attention to detail
- Robust writing, grammar, and proofing skills.
- Highly organized; ability to multi-task proficiently
- Follows directions, company policies, and procedures.
- Able to perform desk work as well as duties requiring standing/bending/stooping; able to lift 20-25 lbs
- Ability to work independently and to perform legal clerical work with a high degree of accuracy.
