Purpose

Welcome visitors to GWB. Aid Director in tracking tasks and projects for Admin/Ops team. Check admin email daily and report staff-related items. Help manage student workers.

Responsibilities
  • BSC Administrative Management. Manage day-to-day administrative processes, technical services, and reports. Assist the Director of Operations (BSC) and the Institute for Urban Policy Research and Analysis (IUPRA) with personnel management and projects. Guide faculty, staff, and students on policies and procedures relevant to their positions.

  • Review internal processes to ensure compliance with university, state, and federal procedures and laws. In coordination with Black Studies senior leadership, set unit policies and procedures. Facilities Management. Serve as primary contact for all AADS facilities and inventory management. This includes all issues and repairs to the Gordon-White Building (GWB). Advise Black Studies senior leadership concerning and oversee office and office key assignments in Black Studies spaces in GWB and Bellmont Hall.

  • Coordinate office moves and the move-in process for incoming faculty and staff and in the submission of work orders, including service, construction, moving surplus, and event requests. Manage and maintain emergency and safety procedures and management of building access procedures: interface with Locks and Keys and ITS to manage physical locks and proximity card access to Black Studies spaces. Attend building manager meetings and circulate relevant information accordingly.

  • Personnel and Systems Management Support. Support the management of internal communication systems (BSC Calendar, BSC Work Scheduler, listservs, etc.). Create and manage systems to service all BSC buildings (e.g., emergency and safety procedures), inventory (e.g., office supplies, computers, etc.), and moving needs for faculty, staff, and students. Work closely with the Director of Operations to develop, maintain, and communicate all systems needs and updates. Track and update projects and initiatives associated with the Operations Team. Initiate the call to staff for any all-hands-on-deck needs (to service BSC events and other initiatives).

Required Qualifications

A Bachelor's Degree plus at least five (5) years of related clerical and administrative experience, preferably in a large organization. Excellent organizational and communication skills. Demonstrated ability to communicate with a large population. Demonstrated adaptability and history of service-minded approach to executing job functions. Success working both in a team setting and independently. Demonstrated ability to manage concurrent projects while proactively communicating with stakeholders.

Preferred Qualifications

A Bachelor's degree with more than five (5) years of relevant experience. Knowledge of University of Texas at Austin policies involving accounting, purchasing, and travel. Operational experience working in an academic department/center.
