Are you an organized and detail-oriented professional looking to make an impact in a growing company? Hunter Hamilton is working with a client who is seeking an Administrative Coordinator to join their team in West Haven, CT. This is a full-time, on-site role in a casual, team-oriented environment. As they continue to expand, they need a dedicated professional to take charge of scheduling, administrative support, and data organization.


Key Responsibilities:

  • Crew Scheduling - Manage and update the work schedule for field crews two weeks at a time, ensuring efficient job assignments and resource allocation.
  • Payroll Support - Gather timecards, input hours into spreadsheets, and assist with payroll processing.
  • Billing & Receivables - Work with team members to collect necessary billing details, material lists, and update financial records.
  • Data Entry & Organization - Maintain work dockets, completed projects, and estimates, ensuring accurate records.
  • Quarterly & Semi-Annual Tax Filings - Assist with tax-related filings in QuickBooks (training available if needed).
  • CRM & Software Management - Help implement and manage a new CRM system (Jobber) while working with Google Docs, Excel, and QuickBooks to consolidate data.
  • General Office Tasks - Answer phones, manage the PO Box, receive and sort mail, and keep the office running smoothly.
  • Team Collaboration - Work closely with managers to ensure seamless scheduling and operational efficiency.


Qualifications:

  • Strong organizational skills with the ability to multi-task and prioritize in a fast-paced environment.
  • Experience with scheduling and administrative coordination preferred.
  • Proficiency in Google Docs, Excel, and general data entry.
  • Willingness to learn QuickBooks (prior experience is a plus but not required).
  • Excellent communication skills and a team-player mentality.
