General Description of Duties Under the general direction of the Equipment Manager, the purpose of this position is to supervise the daily operations of equipment support department by directing the daily operations of accounts payable, equipment accounting, shop office employees. Employee will coordinate with all other managers as needed to ensure efficient and effective workflow. Performs related work as required. Specific Duties and Responsibilities Monitors the account payable system to ensure all payables are correctly coded and accounted for in the system. Manages the workflow of paperwork through the repair system by maintaining accountability of all work orders. Ensures source document accuracy and complete information such as labor, parts, and purchase order information is recorded on each document. Performs in depth reviews of equipment division business processes to establish practices and systems to reduce overall equipment expenses. Works with other project managers in order to accurately report equipment related items that include usage, hours, and mileage. Provide the Equipment Division Manager accurate reports on revenues and expenses. Manages the vehicle fleet to include procurement, maintenance and sale. Manages the overall communications, and fuel card systems for the company. Manages the marketing and sale of all surplus equipment. Negotiates with vendors for contract parts and services. Maintains accountability of all bulk fuel operations for the company. Performs human resource functions for attracting and retaining division employees. Manages the Equipment Division safety program. The list of essential functions, as outlined herein, is intended to be representative of the tasks performed in the classification. It is not necessarily descriptive of any one position in the class. Minimum Training and Experience BS Degree in Business and Administration supplemented by 10 to 15 years' previous experience in senior maintenance management; or an equivalent combination of education, training, and experience. MBA or other graduate level education is desired. ADA Compliance Physical Ability: Tasks involve the ability to exert moderate, though not constant physical effort, typically involving some combination of climbing and balancing, stooping, kneeling, crouching, and crawling, and which may involve some lifting, carrying, pushing and or pulling of objects and materials of heavy weight (25-50 pounds). Dexterity: Requires the ability to make simple to complex movements requiring moderate coordination, such as use of switches, levers, handles, machines, etc. Sensory Requirements: Some tasks require the ability to perceive and discriminate sound, visual perception and oral communications ability. Environmental Factors: Tasks are regularly performed with exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, or petroleum products. Must be able to wear dust mask, hard hat, or eye protection as required by the job. Performance Indicators Knowledge of Work: Has advanced knowledge of maintenance accounting systems, spreadsheets, business finance and economics. Is able to perform detailed cost analysis and life cycle costing of equipment systems. Has advanced knowledge of the standard practices, tools, materials, and equipment used in the repair and maintenance of a variety of powered vehicles and equipment. Has advanced knowledge of the operating principles of gasoline and diesel engines, hydraulic systems, drive train and of the standard mechanical components of automotive and related equipment. Has extensive knowledge of the occupational hazards and safety precautions of equipment repair work and shop operations. Is able to use and care for office equipment, and materials used in the shop office. Is able to exercise expert independent judgment in detecting malfunctions in mechanical equipment. Is able to understand and follow oral and written instructions. Is able to determine repair parts required for support of all maintenance operations. Is able to establish and maintain effective working relationships as necessitated by work assignments. Quality of Work: Maintains high standards of accuracy in performing duties and responsibilities. Exercise immediate remedial action to correct any quality deficiencies that occur in areas of responsibility. Maintains quality communication and interaction with intra- And interdepartmental personnel and any external entities with who position interact. Quantity of Work: Performs described essential functions and related assignments efficiently and effectively in a manner to produce a quantity of work which consistently meets established standards and expectations. Dependability: Assumes responsibility for completion of assigned functions. Completes assigned work within established deadlines in accordance with directives, policies, standards, and prescribed procedures. Maintains accountability for assigned responsibilities in the technical, human and conceptual areas. Attendance: Attends and remains at work regularly and adheres to policies and procedures regarding absenteeism and tardiness. Provides sufficient notice to upper management with respect to vacation time and leave requests. Initiative and Enthusiasm: Exhibits an enthusiastic, self-reliant and self-starting approach to meet job responsibilities and accountabilities. Strives to anticipate work to be accomplished, and initiates appropriate and acceptable action for the completion of work with a minimum of supervision and instruction. Coordination of Work: Plans and organizes daily work routine. Establishes priorities for the completion of work in accordance with sound time-management methodology. Avoids duplication of effort. Estimates expected time of completion for work elements, and establish a personal schedule accordingly. Attend required meeting, planning sessions and discussions on time. Implements work activity in accordance with priorities and estimated schedules. Safety and Housekeeping: Adheres to all established safety and housekeeping standards, to include regulatory entities.
