SUMMARY: We are seeking an organized, professional, and proactive Medical Office Assistant to join our team. The Medical Office Assistant is responsible for administrative support in data entry, document processing, greeting visitors, medical record keeping, and performing various administrative duties to ensure the office runs smoothly. ESSENTIAL FUNCTIONS:
- Answer and direct phone calls, take messages, and handle patient inquiries
- Scheduling appointments
- Check clinic voicemail and log voicemails
- Tracking annual physicals andkeeping outstanding physical lists up to date
- Manage and maintain all medical records requests and referrals
- Input and upload lab results into the system and communicate lab results to patients upon request
- Calibrate audiometer, PFT, and RFT machines and log medical refrigerator and freezer temperatures
- Prepare and modify documents, including correspondence, reports, and e-mails, as instructed by the Clinic Manager
- Manage clinic emails: print lab results, doctor's notes, and medical records and distribute incoming email correspondence to the correct individuals
- Manage incoming doctor's notes anddistribute appropriate information needed to the HR department
- Create new case management; manage and track work accommodations until theend of therestriction period
- Check in patients upon arrival, verify and update patient information
- Create and print lab orders for Medical Assistant
- Ensure the clinic office supplies, including paper, brochures, and forms, are stocked and replenished as needed
- Send out appointment reminders through text messages and e-form emails for all scheduled appointments the day before the appointment
- Scan all patient records and documents before the end of the business day
- Clean and sanitize nurses' stations and waiting rooms throughout the day
- Perform Saliva Drug Screens, Respirator Fit Tests, COVID, Flu, and Strep Tests under the instruction of the Provider for sick patients
NON-ESSENTIAL FUNCTIONS:
- Perform Blood Draws
- Perform Urinalysis
- Obtaining Patient Vitals: weight, temperature, blood pressure, pulse, 02Sat
- Distributing OTC medications for walk-in requests
- Assist theMedical Assistant with restocking exam room supplies
- Perform Hearing Tests and Pulmonary Function Test (PFT)
Requirements
- A High School diploma or equivalent education is required
- Minimum two years of office experience is required. Preferably in a Medical Office environment
- Knowledge of clerical and administrative procedures /systems such as filing and record-keeping
- Ability to work independently and in a team environment
- Ability to analyze and solve problems
- Must be proficient in Microsoft Office at the intermediate to advanced level
- Ability to handle a fast-paced environment
- Consistent detail orientation is required
- Must be able to multi-task and adapt to sudden task changes
- Must be able to manage time to meet tight deadlines
- Ability to communicate effectively, both verbally and in writing
