Overview
The School of Environmental and Biological Sciences, located on the George H. Cook Campus, is one of the largest schools of Rutgers University in New Brunswick, New Jersey. We pursue excellence in research, teaching, and outreach in areas of study that address the biological spectrum from molecules to ecosystems. Our emphasis is on both the fundamental sciences and the social and human dimensions. We offer 21 undergraduate majors, including plant and animal sciences, microbiology, biotechnology, agriculture and food systems, landscape architecture, food and nutritional sciences, ecology and evolution, marine science and oceanography, environmental sciences and meteorology, human ecology, entomology, and environmental economics.
In addition to instruction in the classroom, field, and laboratory, our students have opportunities for experiential learning on and off campus, including a growing emphasis on international experiences through short- and long-term study abroad. Students also have access to a robust program of applied research and outreach hosted by the New Jersey Agricultural Experiment Station laboratories, farms, business incubators, and marine stations throughout the state.
Posting Summary
Rutgers, The State University of New Jersey is seeking a Program Coordinator I for the School of Environmental and Biological Sciences. This position reports to the Department Chair, the Graduate Program Directors, and the Undergraduate Program Directors.
Among the key duties of the position are the following:

  • Provides administrative support to the Graduate Programs in Environmental Sciences, Atmospheric Science and Environmental Engineering, all of which are housed in the Department of Environmental Sciences, through comprehensive coordination and administration of the program.
  • Renders staff assistance as required to support the operations of the Department of Environmental Sciences and the three undergraduate programs therein: Environmental Sciences, Meteorology, and Environmental Engineering.
  • Provides comprehensive coordination and the day-to-day administration for three Graduate Programs: Environmental Sciences, Atmospheric Science, and Environmental Engineering, all of which are housed in the Department of Environmental Sciences.
  • Coordinates multiple facets of course, instructor and room scheduling for the three Undergraduate Programs: Environmental Sciences, Meteorology, and Environmental Engineering; and the three Graduate Programs: Environmental Sciences, Atmospheric Science, and Environmental Engineering, all housed in the Department of Environmental Sciences, using the scheduling Course Atlas by Infosilem system.
  • Assists and coordinates the Environmental Engineering (EnvE) Undergraduate Program Director in maintaining records required for engineering program accreditation by the Engineering Accreditation Commission of the Accreditation Board for Engineering Technology (ABET).
  • Coordinates communication between UPDs across two schools, SEBS and the SoE.
  • Assists in coordination of the Exposure Science program of the Environmental Sciences Graduate program which is jointly administered between SEBS and RBHS.
  • Organizes and administers the processes and prepares graduate student records and documents in Salesforce ensuring the accuracy of the information for admissions, graduation, and placement in programs/internships/fellowships, focusing on completion of successful initiatives.
  • Serves as a liaison with various institutional entities including the School of Graduate Studies, the Office of Graduate and Professional Admissions, Rutgers Housing and Residence Life, Rutgers Global Services, the Division of Life Sciences, the Office of Scheduling and Space Management, Rutgers Counseling, Alcohol and Other Drug Assistance Program & Psychiatric Services including Alcohol and Other Drug Assistance Program, the SEBSNJAES Office of Communications, Deans, other undergraduate and graduate program coordinators and administrators across Rutgers, and others as needed.
  • Serves as a liaison with Federal and State government agencies and special programs to determine requirements, modifications or innovations needed for students or programs.
  • Prepares statistical reports and documents, as needed, for the Chair, Program Directors and the School of Graduate Studies, and state and federal agencies on program status and funding data.
  • Interprets agreements and ensures accuracy of information and proper dissemination of information to appropriate personnel, using the knowledge of general concepts, applications, theories and terminology of the organization.
  • Maintains the social media image of the graduate programs in the form of reviewing and ensuring that websites for each program are current and up to-date; preparing student-based news items for the departmental website.
  • Prepares and oversees posts for departmental Twitter and Instagram accounts.

Qualifications


Minimum Education and Experience

  • Requires a bachelor's degree, or an equivalent combination of education and/or experience.
  • Also requires two years of relevant experience that demonstrates knowledge and understanding of office administration, organization, coordination and facilitation.

Certifications/Licenses
Required Knowledge, Skills, and Abilities

  • Excellent multitasking and oral and written communication skills, and computer skills to handle various cumbersome and changing systems and ability to simplify and automate some processes.
  • Also requires of Microsoft Office and changing online database programs, especially Salesforce.
  • Must be able to interact comfortably with a very diverse departmental and student population and have effective client service skills.
  • Tact, diplomacy and strong communication skills are required.
  • Must handle sensitive and confidential inquiries from graduate students and faculty advisors and have knowledge of available student and faculty resources for urgent inquiries, including CAPS and RUPD, and be prepared to make such inquiries.
  • Must be capable of working under moderate amounts of stress on several concurrent projects and with interruptions from personnel, telephone and electronic media.

Preferred Qualifications

  • The occupant must have facility with computer-based data management (e.g., Excel, Teams, Box, Access) and scheduling software (Infosilem, Course Atlas), as well as a fine-grained understanding of the academic and operational details of the department and its academic programs, particularly as they relate to classroom scheduling and scheduling conflicts.
  • The Program Coordinator must be adaptable to any new systems and processes that the university may transition to in the future. Knowledge of current systems, including Salesforce and Course Atlas by Infosilem.
