About Coastline College Coastline College opened in 1976 as the first campus-free college in the United States. Department SpecificsUnder the leadership of the Vice President of Instruction, the Office of Instruction is made up of a team that administers the oversight of the class schedule, faculty load and pay, and catalog maintenance and curriculum support. The Office of Instruction supports the many initiatives and efforts that are implemented and/or supported by Instruction, such as Competency-Based Education, Equitable Placement, Support and Completion (AB 705 and 1705), and Common Course Numbering (AB 1111), to name a few. The Office of Instruction team works collaboratively with each other and with all College constituents to support the Mission and Vision of Coastline College.
Summary
Performs a wide variety of complex and specialized administrative and technical support duties for an executive or senior level administrator, in support of coordination of data and materials to meet timelines of the curriculum approval process and management of curriculum information and related systems. Coordinates workflow and support activities for the instructional office involving multiple divisions and outside organizations.
Distinguishing Career Features
The Curriculum Specialist is a specialized administrative support role based on need and requires at least two years of related Administrative Assistant level support with a demonstrated ability to serve the executives, e.g., Vice President or designee, whose functions require timely compilation and coordination of specialized information across instructional divisions and technical reporting.
Essential Duties and Responsibilities
Specific duties may vary among departments, divisions and jobs. Incumbents typically perform a substantial portion or all the following kinds of duties, as assigned:
1. Provides support to an executive or senior level administrator of a technical and complex nature. Completes work assignments by applying in-depth understanding of the curriculum approval process and management of curriculum information, related technical systems and reports.
2. Prepares, maintains, and updates comprehensive curriculum information within local and State systems according to established policies, procedures, and applicable legislation. Provides appropriate codes for new course entry.
3. Responds to inquiries and conveys technical and/or other information to faculty and staff on curriculum processes, policies, and procedures. Interprets and conveys policies and procedures and ensures compliance with legislation, including Title 5 and California Education Code.
4. Organizes, balances, prioritizes, and performs administrative support duties, anticipating business and academic calendars and cycles. Establishes and works within timelines for required reports and submissions.
5. Coordinates the administrative aspects of projects and events, integrating them with ongoing work routines and making assignments to other staff as necessary.
6. Serves on assigned curriculum and instruction committees providing administrative support to the curriculum approval processes such as, but not limited to cross functional committees, agendas, minutes, and special meetings. Prepares drafts, revisions, and final documents assuring compliance, completeness, formatting, spelling, and grammar.
7. Learns and applies technology as necessary to perform assigned duties.
8. Prepares reports for internal and external use. Sets up deadlines for other work units to submit information.
9. Receives and screens telephone calls and visitors, handling routine-to-difficult matters independently, providing information, or routing calls to administrators.
10. Performs special projects as assigned. Conducts research to compile reports for administration or to regulatory or governing agencies.
11. Prepares requisitions and claims for reimbursement related to ordering of catalogues.
12. Compiles periodic analytical reports requiring research, estimates, and presentations that integrate text and presentation graphics. Prepares reports for State and local agency requirements.
13. May train, and provide work direction of other staff and temporary help.
14. Performs other related duties as assigned that support the objective of the position.
15. Required to abide by all District policies and procedures including Board Policy 3050 - Code of Professional Ethics.

Knowledge and Skills 1. The position requires extensive knowledge of curriculum processes, including data systems, timelines, and reporting. 2. Requires in-depth knowledge of District, College and divisional operations, policies, procedures, and calendars. 3. Requires a well-developed knowledge of, and skill at using personal computer-based software programs that support this level of work, including but not limited to word processing, spreadsheet, presentation graphics, special applications used for curriculum, and data entry onto custom databases. 4. Requires working knowledge of and skill at conducting research of education codes and legislation. 5. Requires skill at facilitating problem-solving processes. 6. Requires enough math skills to perform financial and statistical record keeping. 7. Requires enough knowledge of proper English usage, grammar, spelling, and punctuation to prepare professional correspondence. 8. Requires well-developed human relations skills to convey executive office purpose, work productively and cooperatively with diverse teams, exercise patience when dealing with internal and external customers, and convey technical concepts.
Abilities 1. Requires the ability to independently perform the essential responsibilities and functions of the position. 2. Requires the ability to accurately take and transcribe notes and/or meeting minutes/recollections. 3. Must be able to learn, interpret, explain and apply knowledge of polices, procedures, legislation, and special coding related to curriculum approval and reporting process. 4. Requires the ability to learn and apply education codes and other policies and rules within a reasonable time. 5. Requires the ability to prepare spreadsheets, graphs and charts, and enter, import, and export data to and from databases. 6. Requires the ability to plan, organize and prioritize work in order to meet schedules and timelines. 7. Requires the ability to communicate with administrators, parents, students, staff, and the community using patience and courtesy, and in a manner that reflects positively on the College and District.
Physical Abilities 1. The general physical demands, working conditions, and essential job functions associated with this classification will be kept on file with the Office of Human Resources. 2. Essential functions will vary by position. 3. Education and Experience The position requires an Associate's degree and five years of progressive administrative experience, including two years in the equivalent capacity to an Administrative Assistant. A Bachelor's degree may substitute for some experience. Or, any combination of education and experience which would provide the required equivalent qualifications for the position. AND Demonstrated evidence of responsiveness to and understanding of the racial, ethnic, disability, gender identity, sexual orientation, socioeconomic, academic, and cultural diversity within the community college student population, including students with different ability statuses (e.g., physical and/or learning) as these factors relate to the need for equity-minded practice within the classroom.
Desirable Qualifications
- A Bachelor's degree.
- Experience in applying in-depth understanding of the California Community Colleges' curriculum approval process, the role of local curriculum processes, and the management of curriculum information, related technical systems, and reports.
- Demonstrated ability to conduct detail-oriented review and analysis of curriculum-related documents, policies, and legislation.
- Demonstrated ability to collaborate and engage with college-level faculty to fulfill projects or tasks.
- Understanding and appreciation of the impacts of curriculum on underrepresented student populations.
Licenses and Certificates
May require a valid driver license.
Working Conditions
Work is performed indoors where minimal safety considerations exist.

Conditions of Employment

This is permanent,
full-time, 12-month per year classified position. The normal hours of work will be Monday through Friday 8:00 am to 5:00 pm, with the flexibility to occasionally work evening hours and/or weekends, when necessary, to meet the needs of the department. There is an expectation that classified professionals attend College Flex Days, which occur once per semester. The effective date of employment will be arranged with the supervisor.
The District provides medical, dental, and vision insurance for the employee and eligible dependents and life insurance for the employee.

Selection Procedure
