WORK ARRANGEMENT: Hybrid - minimum 2 days onsite

SALARY RANGE: $29.75-$37.19

OVERVIEW

LightHouse for the Blind and Visually Impaired, headquartered in downtown San Francisco, is looking for a full time People Operations Administrator to support our SF, East Bay, Napa, and North Bay offices and to fill a valued role in our growing organization.



QUALIFICATIONS:

  • 1-2 years of experience in HR, Talent, Data, Audits and/or related experience.
  • Experience working with data and/or HR audits.
  • Will be reporting to our SF Headquarters office, however, must be able to provide in-person support to all our Northern California physical offices, as needed.
  • Excellent written and verbal communication skills.
  • Proven ability to stay organized, handle multiple tasks and competing priorities, provide excellent follow through/up and meet deadlines.
  • Detail oriented
  • Versatility, adaptability, and an enthusiastic willingness to work with changing priorities.
  • Comfortable calendaring and setting up in person and virtual meetings (i.e., Zoom).
  • Comfortable presenting in front of a group of 15 or less new hires.
  • Strong interpersonal skills and is proactive.
  • Ability to deal effectively with a diverse group of individuals at all organizational levels.
  • Technology savvy and familiar with HRIS platforms; (ADP WFN system is preferred.)
  • Experience recruiting, staffing and posting job announcements are a plus.
  • Working knowledge of HR laws and regulations is a plus.


JOB RESPONSIBILITIES:

Data Management & Reporting:



  • Maintain accurate and up-to-date records in the applicant tracking system and employee database.
  • Handle all garnishments, EDDs, SDIs, and
  • Ensure data accuracy and integrity.
  • Timely completion of employee status changes and tasks in the HRIS system.
  • Prepare routine and special reports.
  • Maintain accurate and compliant employee and medical f
  • Run HRIS reports to support internal and external audits/requests.
  • Handle initial candidate, employee, and supervisor/manager's inquiries regarding policies and procedures.


Benefits and Compensation:



  • Assist with benefits administration, including enrollments, changes and inquiries
  • Accurate and timely audit and reconciliation of benefit invoices.


General HR Tasks:



  • Manage People and Culture's mailbox at Headquarters.
  • Provide general administrative support to the P&C Department.
  • Assist with special projects related to Talent Acquisition and/or HR initiatives.
  • Timely management of addressing the payroll package and coordinating delivery/hand-outs of live checks.


Recruiting and Sourcing:



  • Collaborate with hiring managers to understand interview logistics.
  • Pre-screen applicants to assess candidate interest and understanding of the position.
  • Manage the HR (Talent) Inbox for the People and Culture Department.
  • Responsible for scheduling interviews for open positions.
  • Coordinate the hiring process.
  • Timely distribution of job offer letters and other People & Culture communications as needed.
  • Conduct reference checks and initiate various background checks for pre-employment.
  • Create a warm and welcoming environment for applicants and new employees.


Onboarding:



  • Conduct New Hire Onboarding and orientation at the SF Headquarter office, 3 days per month.
  • Manage the coordination of various departments in the New Hire Onboarding Orientations.
  • Accurately assign and manage the timely completion of all required new hire trainings.
  • Administer, track, and provide feedback for all new hire 30-60-90 day reviews.


Ability to perform other related duties as assigned, within the scope of this role.


EXPECTATIONS FOR SUCCESS IN THIS ROLE:

  • Proactive and effective communication
  • Answering employee questions and emails in HR Inbox in a maximum 24-48 business hours
  • Organize documents and employee files for easy retrieval by all applicable parties
  • Accurate processing of employee status changes within 24-48 business hours
  • Accurate audit and reconciliation of benefit invoices before the 10th of each month
  • Turning around incoming resumes to managers within 48-72 business hours


PHYSICAL REQUIREMENTS:

  • Ability to sit at a desk and perform computer-intensive work for long periods; operate standard office equipment and lift up to 20lbs.
  • Ability to work at offsite location(s) independently as needed.
  • Ability to independently travel throughout the Greater Bay Area when required.
