Job Summary

The Academic Programs Coordinator is responsible for overseeing the development, management, and success of the undergraduate and graduate instructional assistant programs in the College of Arts & Sciences. This role ensures that instructional assistants are well-supported, trained, and effectively integrated into academic programs. The Coordinator also plays an essential role in developing other student programs for the college and facilitating outreach activities to engage the broader college community and promote academic success. The Coordinator serves as the primary liaison between departments and their instructional assistants, ensuring alignment with institutional goals and the promotion of a positive learning environment.

Job Description

Typical duties may include but are not limited to:

  • Coordinates all aspects of the instructional student assistant program at the college level, including working with departments on recruitment, onboarding, training, and scheduling.
  • Develops, recruits, and coordinates a student ambassador program for the college.
  • Works collaboratively with administrators in the development, implementation, documentation and enforcement of policies, procedures, and best practices to ensure program effectiveness.
  • Maintains up-to-date program documentation, including training materials, role expectations, and evaluation processes.
  • Monitors program outcomes with departments, collects, filters, and analyzes data to make recommendations for improvement.
  • Gathers and incorporates faculty feedback to enhance the program's alignment with instructional goals.
  • Prepares reports and presentations for leadership on program outcomes, successes, and challenges.
  • Acts as a resource for students participating in the instructional assistant and ambassador program, addressing concerns and facilitating feedback.
  • Contributes to and monitors CAS Canvas training for programs.
  • Develops and coordinates outreach initiatives to increase awareness of and participation in the programs among students, faculty, and staff.
  • Hosts and participates in on-campus events, workshops, and presentations to promote academic support services and other program resources.
  • Coordinates and monitors the semesterly reporting of faculty activities and individualized learning activities.
  • Assists with coordinating community engagement activities for the college.

Other Duties:

  • Performs administrative support relevant to this position for CAS departments as assigned by the Dean's office.
  • Other job-related duties as assigned.

Additional Job Description

Required Qualifications:

  • This position requires either six years of directly related full-time experience or, as an alternative, a Bachelor's degree from an accredited institution in an appropriate area of specialization and two years of full-time experience directly related to the job functions.
  • Experience with computer systems and proficiency in Microsoft office (Word, Excel, PowerPoint, and Outlook).
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered.

Preferred Qualifications:

  • Experience working in a higher education setting, working as a student instructional assistant or student ambassador, or other related experience.
  • Experience in program assessment and reporting.
  • Experience with Workday, Banner, Cognos
  • Experience with website editing functions.

Knowledge, Skills, and Abilities:

  • Knowledge of and experience with the Canvas Learning Management System, Tableau dashboards, and Excel as well as the ability to utilize these tools for data analysis, and reporting.
  • Proficiency in generating insights from data.
  • Knowledge of policies, procedures, and regulations pertaining to the position.
  • Knowledge of and ability to adhere to FERPA requirements.
  • Excellent interpersonal, verbal and written communication skills.
  • Skill in organizing resources and establishing priorities.
  • Skill in using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
  • Ability to lead in the planning, organizing, coordinating and performing work in various situations when numerous and diverse demands are involved.
  • Ability to effectively lead, collaborate with, and engage a diverse group of students and/or faculty, fostering a supportive and motivating environment.
  • Ability to work successfully as both a member of a team and independently with minimal supervision.
  • Ability to think critically and creatively, have a high standard of integrity, and be motivated to incorporate best practices into the organizational structure.
  • Ability to operate personal computers with proficiency and learn new applications and systems.
  • Ability to thrive in an organization that values the diversity of its student body and workforce and actively promotes an equitable environment.
  • Ability to work evenings, nights, and weekends as needed.
