In order to be considered an applicant for this position you must meet the minimum qualifications as stated in this announcement. HVCC does not sponsor Visas. Applicants must currently hold an unrestricted employment authorization to work in the United States and appointment will be contingent upon completion of a background check.

RESIDENCY REQUIREMENTS: Candidates must have been legal residents of New York State for at least FOUR months immediately preceding the date of the test. Pursuant to subdivision 4a of Sec. 23 of the Civil Service Law, preference may be given to successful candidates who have been legal residents of the municipality to which the appointment is to be made for at least FOUR months preceding the date of the written test.

This is a provisional appointment. Selected candidate will need to sit, pass and be eligible on the next available Rensselaer County Civil Service Exam for Program Assistant Academics II in order to be considered for permanent appointment.

MINIMUM QUALIFICATIONS: Graduation from a regionally accredited or New York State registered two (2) year College or University with an Associate's Degree and two (2) years of work experience in an office or customer service setting.

DUTIES AND/OR RESPONSIBILITIES: The Program Assistant, Academics II will report to the Department Chair of Fine Arts, Theatre Arts and Digital Media and perform the following duties:

Under the direct supervision of the Department Chair or other academic supervisor, provides comprehensive clerical assistance to students, faculty and administration of the Department.



  • Provides reception services, basic policy direction, and referral to other sources of assistance.
  • Provides seamless procurement and management of essential supplies and equipment for the department. This includes liaising with faculty, various vendors, negotiating contracts, and ensuring timely delivery of materials necessary for the smooth operation of academic activities.
  • Utilizes college systems to assist the Department Chair in efficiently managing departmental finances, including the ability to process payments for department expenses and analyze budget lines for effective financial evaluation.
  • Performs basic research to support course development and special initiatives.
  • Prepares established internal documents and utilizes electronic ticketing systems for timely processing of required documents and records.
  • Utilizes MS Office or other office software to design, develop and produce required documents and records.
  • Assists the Department Chair with budget preparation, gathering and organizing data.
  • Develops data for assessment efforts.
  • Develops and monitors office protocols for efficient operation.
  • Devises and maintains electronic file structures.
  • Coordinates advisement appointments as necessary.
  • Corresponds with external agencies related to departmental functions.
  • Participates in all department and advisory board meetings.
  • Performs other related duties as may be assigned by the Department Chair.


This is a full-time 12-month, 40-hour work week position with an hourly rate of $20.03. Start date is immediate.
