OVERVIEW

The primary responsibility of this position relies on ambitious virtual, in-person and hybrid programming that will include developing, coordinating, and supervising innovative and interesting social, recreational, wellness, and educational programs and activities for blind and low-vision adults living in San Francisco and the greater Bay Area and beyond. This program is primarily funded through San Francisco's Department of Disability and Aging Services (DAS) and therefore has measurable goals and objectives to meet the City's funding requirements. To accomplish this goal the Adult Program Specialist will collaborate with instructors including volunteers, community partners, and/or other facilitators. Community Services Department is supported by Grant funding and that our services are now close to 90% covered through Grants. This position demonstrates comfortability with both virtual programming (i.e. Zoom) is creative, flexible, good-humored, positive identity with blindness, training in geriatric issues and in possession of strong interpersonal, leadership and communication skills to relate to a diverse array of people and have the ability to teach or lead classes and programs too. The LightHouse Adult Program Specialist will report to the Manager of Community Services and work with a variety of LightHouse staff, volunteers and other community constituents to develop LightHouse programming that will increase participation amongst blind and low-vision adults age 18+ and promote the equality and self-reliance of participants. The position requires regular work across a diverse schedule that includes evenings and weekends.


QUALIFICATIONS:

  • Bachelor's degree in Human Resources, Business Administration, or a related field; 4+ years of Director level experience, or equivalent combination of education and experience.
  • 6+ years of progressive HR leadership experience.
  • Experience in organizational development, HR operations, and culture building.
  • Demonstrated ability to manage HR operations in a multi-site and remote work environment.
  • Proficiency in HRIS platforms (ADP WFN preferred), Microsoft Office 365, and video conferencing tools (Zoom, MS Teams).
  • Strong interpersonal, communication, and facilitation skills, with the ability to write clearly and compellingly on policy and intra-office matters.
  • Proven ability to navigate complex systems and identities within an organization.


  • Ability to perform computer-intensive work, operate standard office equipment, and travel independently to LightHouse sites, as needed.
  • HR certification (e.g., PHR, SPHR, SHRM CP) are a plus.)
  • Experience with ADP WorkforceNow/Total Source; or other HRIS, a must.


JOB RESPONSIBILITIES:

  • Develop and implement a full schedule of programs at the LightHouse campuses and in the community, ensuring a minimum of 12-15 programs per quarter, with at least 3 different types of offerings (workshops, seminars, outings, etc.).
  • Plan and coordinate adult programs in partnership with Adult Program Manager, Community Services Director, and other internal and external partners (i.e. Communications, Hospitality, etc.) from conception to execution, ensuring each event is executed on time, within budget, and meets attendance targets, with an average attendance of at least 80% of registration capacity per event.
  • Ensure at least 85% of scheduled programs are completed without cancellation, and participant satisfaction rates, measured through post-event surveys, reach an average of 85% or higher.
  • Provide at least 51% (approximately 19 hours) of direct service to students each week. Direct service is defined as "instructional services provided either by group of individual instruction directly to the student."
  • Reach and serve diverse communities by building strong, productive relationships with at least three LightHouse, community organizations, partners, or sponsors per quarter to support the Adult Program. Aim to initiate a minimum of 1-2 (based on time of year) collaborative activities per month with these partners (e.g., co-hosted events, joint workshops, or shared resources).
  • Work as a team with LightHouse staff and volunteers on projects, ensuring that 90-100% of assignments are completed by the designated deadlines.
  • Attend weekly team meetings to assess progress on collaborative efforts, resolve issues, and maintain alignment with program objectives.
  • Ensure that volunteer participation and retention rates remain high, with a goal of retaining at least 80% of volunteers over the course of a year.
  • Measure the success of program offerings through quarterly surveys or feedback forms for a satisfaction score of 90% or higher.
  • Ensure accurate and timely entry of pertinent data into Salesforce (or other LH CRM), with a goal of 100% of student records submitted to Program Coordinator within 48 hours of program participation.
  • Coordinate logistics and communications to ensure all events are promoted at least 4 weeks in advance, with all necessary resources (venue, materials, staff) secured at least 2 weeks before each event.
  • Ensure compliance with grant guidelines, with a goal of 100% adherence to grant requirements.
  • Conduct quarterly compliance checks with LightHouse staff and community partners to ensure all documentation and reports are submitted on time, and that grant-related activities meet funding agency standards.


Ability to perform other related duties as assigned, within the scope of this role.


EXPECTATIONS FOR SUCCESS IN THIS ROLE:

  • Provide at least 51% direct service to students each pay period
  • Ensure accurate and timely entry of pertinent data into Salesforce (or other LH CRM), with a goal of 100% of student records submitted to Program Coordinator within 48 hours of program participation
  • Develop and implement a full schedule of programs at the LightHouse campuses and in the community, ensuring a minimum of 15 programs per quarter, with at least 3 different types of offerings (workshops, seminars, outings, etc.)


PHYSICAL REQUIREMENTS:
* Regular evening and weekend assignments.
* Ability to carry or transport 25 lbs.
* Ability to independently travel to all LightHouse physical locations and events, as well as throughout Northern California up to Eureka, to provide services as needed.
