Basic Job Functions: Performs diverse day to day tasks and provides oversight to manufacturing operating system facilitating processes and tracking data pertaining to High-volume Manufacturing and provide factual research findings. Ability to perform a variety of functions in a fast-paced environment with a high degree of confidentiality. Duties may include, but are not limited to:
- Define operating process to improve operational efficiency - include headcount, expense tracking & monitoring.
- Preparing written documents, including reports, memos, meeting agendas, transcribing notes, and presentations.
- Improve organizational infrastructure to foster productivity and safety; optimize resource & factory space utilization across buildings.
- Vendor management for corporate goods, equipment and services needed for office & factory operation. Monitor and update service agreements as needed.
- Managing a team of administration assistants to secure travel arrangements, maintain calendars, and plan meetings/events & logistics.
- Tracking and summarizing department budget data.
Experience:
- 3+ years industry experience with renewable energy, manufacturing, and/or technology companies, preferred.
- Experience preparing long-range plans, annual budgets, short-term plans, operational metrics, and monthly rolling forecasts for executive management.
Education:
- BS/BA degree in Business, Finance, Accounting, Economics, Engineering or relevant degree required.
- PMP certification, MBA & Experience in office management preferred.
Essential Responsibilities:
- Analyze the variances of monthly business performance and support the key business stakeholders on an action plan to achieve positive changes to the operational metric.
- Submits purchase requisitions, track spending, approve and process invoices.
- Provide professional representation for the function(s).
- Provide leadership with extensive and continuous calendar management, domestic and international travel management, expense management, event registrations and detailed meeting plan management, and all other executive support.
- Act as a representative of leadership regarding internal and external relations and correspondences and screening communications.
- Coordination of meetings, creating PowerPoint presentations, use of Excel spreadsheets and ordering equipment.
- Arrange on- and off-set meetings, events, appointments, & travel for executives with supporting materials as needed. Ensure that leadership is informed of priorities, deadlines, and challenges.
- Independently perform special projects that require a combined knowledge of administrative needs and technical operations.
- Complete accurate and detailed leadership department expense reporting.
- Respond to a wide variety of requests for information, policies, and procedures, and executive action. Analyze needs and problems and determine approach and priority.
- Maintain confidentiality in all aspects of team and company information.
- Operation independently with minimal supervision.
- Available at various hours or business-related tasks during regular business working hours and periodically during off-hours (evenings and weekends).
- Exercises independent judgment and escalates serious or unique problems to higher levels.
- Organize and maintain hard copy and/or electronic documents and files.
- Maintain SharePoint site on POWER.
- Proof and format reports and documents as needed.
- Support staff members with various duties; creating or maintaining schedules, creating or maintaining reports, organizing/chairing meetings and follow-upetc.
- Coordinate and lead as needed staff meetings, team building events, various trainings, seminars, and events; includes organizing and coordinating logistics, room set up, food ordering, taking minutes/notes and AV support.
- Serve as a liaison between cross functional teams, project directors, project team members, accounting, other administrative staff, clients, subcontractors, and consultants.
- Leading special organizational projects & activities as needed.
- Adheres to all safety procedures and good housekeeping standards.

Technical:
- Outstanding verbal and written communication skills
- Minimum typing speed of 50 wpm
- Advanced proficiency in Microsoft Office (Excel, Outlook, PowerPoint, Word)
- Proficient in Oracle & Visio a plus
- Proficient in Live Meeting and/or Go to Meeting
- Notary certification is preferred.
