The Opportunity:

The Administrative Assistant III provides administrative support within academic or administrative offices. Receives, screens, and directs incoming calls, visitors, mail, and e-mail. Prepares and maintains files and records according to established guidelines. Uses business software applications to prepare correspondence. May arrange meetings, coordinate travel, and track expenses and other budgetary transactions.

Responsibilities:


  • Tracks expenses, travel and other budgetary transactions and submits hiring requests for student employment for SMST and CATER Departments.

  • Contributes to planning of conferences and/or meetings and assists in arranging travel plans, communicates with CECS Budget & Travel Procurement offices in these regards for SMST and CATER Departments.

  • Responds to inquiries regarding schedules/agendas, events, rooms and/or meeting coordination, directs incoming calls, visitors, mail and email for SMST and CATER Departments, including all assigned administrative duties.

  • Uses word and data processing software, including use of all Microsoft Office products to complete necessary correspondences, database entries, and reports, including assisting both Directors with preparing annual and ad-hoc reports for SMST and CATER Department.

  • Orders office supplies and maintains inventory, collects information and oversees production of marketing communication and online content including proofing, print production, and dissemination, and supervises student workers or part-time OPS employees to include approving time in WorkDay for SMST and CATER Departments.

  • Liaises with internal UCF and CECS IT and external providers to arrange service and equipment maintenance requests, arranging building access requests for SMST and CATER Departments.

  • Acts as Search Manager for all SMST and CATER Department recruiting activities & functions.

  • Ensures office machines (e.g. phones, printers, copiers, and fax) are in working order and perform routine troubleshooting, as needed for SMST and CATER Departments.


Minimum Qualifications:

High School Diploma or Equivalent and 4+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information.

Preferred Qualifications:


  • Four years of experience in administrative support roles, preferably in a university or similar setting.

  • Proficiency in Microsoft Office Suite; experience with PeopleSoft, Workday, or other similar systems is highly desirable.

  • Prior experience in a customer service-oriented role with the ability to interact professionally and provide courteous responses to inquiries.

  • Strong critical thinking skills with the ability to solve problems effectively.

  • Familiarity with travel coordination, event planning, and executive scheduling.

  • Experience partnering with other departments, such as HR, IT, Procurement and Accounting, on critical needs and complex issues.

  • Able to maintain strict confidentiality pertaining to student records and other sensitive information.

  • Strong organizational and multitasking abilities, with attention to detail.

  • Excellent communication skills, both written and verbal, with the ability to collaborate effectively with diverse stakeholders and external vendors.

  • Ability to work independently and collaboratively within a team environment.


Special Instructions to the Applicants:

The anticipated hourly range for this position is $20.29 to $22.57. The final rate will be determined based on the candidate's qualifications, experience, and internal equity considerations.
