As a Project Manager, you will play a pivotal role in scaling our project management function and supporting transformational initiatives across the organization. You'll collaborate with business leaders to develop strategic project plans, manage timelines and resources, mitigate risks, and drive cross-functional alignment-all while ensuring seamless execution of key projects that advance our mission.

In this role, you'll:

  • Develop and execute project scopes, goals, and deliverables while tracking milestones in project management software.
  • Identify and mitigate project risks and roadblocks to ensure successful outcomes.
  • Lead project review meetings, facilitate stakeholder alignment, and drive effective communication.
  • Act as a change agent by developing change management plans and communication strategies.
  • Partner with the Operations team to establish a centralized project management office and implement best practices.

Position Summary

National 4-H Council is seeking a Project Manager to join our Finance & Business Operations Team! Reporting to the Sr. Director, Project Management, the Project Manager will plan, execute, and finalize organization-wide projects according to established deadlines and budget. This exciting new role includes acquiring resources and coordinating the efforts of team members and vendors to deliver projects according to plan. The Project Manager will also define the project's objectives, monitor project and task status, identify potential risks or roadblocks, and proactively address issues to ensure efficient plan execution. This role will be pivotal in scaling up the project management function and setting up this growing organization's transformational projects.

Responsibilities:

Project Management

  • Collaborate with business leaders to develop project charters and business cases to initiate projects, including making informed suggestions and proactively creating catalysts for change.
  • Define project scopes, goals, and deliverables with business leaders and project sponsors. Track these items in project management software.
  • Facilitate requirements gathering and prioritization.
  • Develop and maintain project timelines and milestones, identifying dependencies to ensure efficient project execution.
  • Identify and mitigate project risks and roadblocks to ensure successful project outcomes.
  • Prepare and monitor project budgets, validate expenditures, and process invoice payments.
  • Act as a change agent by developing change management plans and project communications schedules.
  • Work with teams to identify and coordinate staff hours available to allocate for project execution.
  • Lead project review meetings and effectively communicate progress and against project plans.
  • Facilitate effective communication among team members and stakeholders, ensuring alignment and collaboration.
  • Conduct post-project evaluations to identify successes, challenges, and areas for improvement.
  • Assist in performance management coordination by collaborating with stakeholders to make informed KPI and data-driven decisions. Coaching stakeholders on best practices.

Strategic Planning & Process Development

  • Partner with the Operations team to establish a centralized project management office.
  • Actively participate in the definition and achievement of team goals and objectives.
  • Develop standardized tools and templates to support project planning and execution.
  • Support the development and documentation of project management processes, best practices, and communicate project standards and practices across the organization.

Minimum Qualifications

  • Bachelor's Degree in finance, business, related discipline or any equivalent combination of relevant work experience and training.
  • 6-8 years of proven project management experience with progressive career growth.

Required Qualifications

  • Must possess broad knowledge and expertise of project management methodologies and tools, resource management practices and change management techniques.
  • Strong analytical, strategic planning, time management and organizational skills are required. Experience using project management software, such as Asana, Smartsheet, Monday.com, to build and manage projects.
  • Experience with large-scale technology implementations (ERP, CRM, LMS, or web applications, e.g.).
  • Ability to work independently and as part of a remote team.
  • Ability to prioritize, evaluate organizational projects, and be able to set realistic expectations with stakeholders.

Preferred Qualifications

  • Professional project management certification (PMP, PMI-ACP or similar).
  • Strong communication skills with various stakeholders across technology platforms, including vendor relationship management.
  • Strong understanding of finance and technology systems and principles. Working cross-functionally across the organization, with all levels of the organization.
  • Comfortable dealing with ambiguity in a constantly changing environment with the strength and agility to drive clarity and decision-making across the organization.

Travel Requirements: Travel may be necessary up to 10% of the time (local, regional, national). Would require travel by air, car or rail.
