Job Description
Summary: Provides general administrative and tax support to the CFO Group and Corporate Accounting. Essential Duties & Responsibilities include the following. Other duties may be assigned.
- Anticipate and respond to customer needs demonstrating professionalism, courtesy, and sensitivity in all contacts.
- Open, log and distribute mail and other correspondence to the appropriate parties within established timeframes.
- Prepare certified mailings and track mailing and e-filing confirmations.
- Be responsible for accurate and timely coding and processing of invoices in accounting system.
- Process tax payments via check, EFT or on-line; coordinate with Accounting/Treasury teams.
- Accurately prepare and track audit and tax timelines, status of audit and tax billings and payments, and status of tax notices within established timeframes.
- Scan, file, maintain and compile financial statement and tax documents in an organized and current manner with appropriate safeguarding of confidential or proprietary information.
- Prepare correspondence and proofread and format documents.
- Send periodic departmentwide communications regarding accounting/tax deadlines and instructions.
- Make phone calls to taxing authorities and vendors.
- Occasionally schedule meetings with internal and external participants in a timely manner.
- Assist with preparation of 1099s and review and tracking of investor withholding documents.
- Produce and update entity organization charts.
- Circulate documents for physical or electronic signature.
- Coordinate with other departments to track federal, state and local tax IDs, business registrations and investor tax information.
- Occasionally prepare accurate and complete expense reports in a timely manner.
- May assist with budgeting.
- Assist with planning and coordinating department events.
- Accurately perform data entry within established timeframes.
- Complete assigned projects ensuring high quality deliverables within established timeframes.
- May provide back up to other non-exempt positions. Perform tasks for designated position in an accurate and timely manner during individual's absence.

Job Requirements
Essential Skills & Qualifications:
- Working knowledge of general office procedures and practices as evidenced by 2 years of experience in a related function.
- Working knowledge of customer services principles and practices as evidenced by 2 years of experience in a related function.
- Basic proficiency with MS Office applications including Word, Excel and Email.
- Demonstrated ability to:
- Understand legal entity structures and audit and tax processes as ideally evidenced by 2 years of experience in a related position.
- Handle legal entity names, accounting data and dates with precision.
- Follow and document procedures; produce accurate results with strong attention to detail.
- Safeguard confidential and sensitive information.
- Communicate effectively both orally and in writing, including drafting business correspondence.
- Read and understand routine tax, legal and insurance correspondence.
- Work independently and exercise sound judgment in ambiguous situations.
- Be pro-active and results-oriented with ability to prioritize and seek guidance when needed.
- Manage and execute multiple projects and tasks for multiple customers within established deadlines.
- Collaborate with other teams within the group.
- Adapt effectively to changing circumstances.
- Maintain professionalism in all aspects of the job, including displaying courtesy and sensitivity in all contacts.
Non-Essential Skills & Qualifications: None Education/Experience:
- High School diploma or general education degree (GED).
- Minimum of 2 years of general office experience, ideally supporting an accounting, tax or legal function.
- Intermediate level of proficiency with MS Office applications (Outlook, Teams, Excel, Word, PowerPoint, SharePoint, Visio), Adobe and DocuSign.
- Experience with Yardi PayScan or other accounts payable system a plus.

Salary Range:
$70,000 - $80,000 (Salary range is consistent with what the business reasonably expects to pay a new hire. Actual pay is subject to a number of factors, including geography, experience, education, etc., and is subject to change).
