Job Description

We are looking for a self-starter to join our Business Operations Team. This person will support the DEAMS Functional Management Office (FMO) and SAF/FMFO Accounting Policy and Operations teams with all general administrative needs including in/out/transfer processing, record maintenance, morale/team support, managing phones, emails, correspondence, assisting with scheduling appointments and planning meetings.

Primary support to overall team (government and contractors) of ~200 personnel as well as back-up to executive assistant to senior-level DEAMS government leaders. For this position, the candidate will use organizational skills to manage office space and will collaborate with clients and colleagues in a fast-paced environment. The candidate will need excellent verbal and written communication skills. Ultimately, the candidate will support dynamic DEAMS FMO and FMFO teams and ensure our day-to-day office operations run smoothly. Additional duties include:

  • Interpersonal skills-strong interpersonal skills required for interacting with senior professionals (including, civilians, military, and contractors), fielding executive calls, setting up meetings and calls
  • Discretion - must be able to maintain confidentiality
  • Event Planning; itinerary, agenda, scheduling/coordinating attendees and event details, development of briefing or event material and protocol
  • Scheduling - manage the schedule of the senior leaders, including setting up meetings and making complex travel arrangements
  • Coordinate with the Program Management Office (PMO), FMO, FMFO, and leadership on governance structure meetings and other formal recurring/non-recurring meetings
    • Schedule coordination, briefing material development/coordination, agenda development
  • Manage important deadlines to include coordinating and formal tracking of program suspenses and action items
  • Document production and management - transcribe, format, edit, retrieve, and electronically file and track documents and presentations; must also be able to route documents successfully through an established approval process
    • Track/control FMO/FMFO program information (official records/non-official documents)
    • Source and maintain program library
  • Writing and research - draft correspondence, memos, and presentations as well as conduct public policy research
    • Prepare bullet background papers, e-mails, program data support material
    • Prepare and coordinate on staffing packages
  • Technical expertise - must be proficient and comfortable setting up conference calls, video conference calls, video presentations, and other technology used by the DEAMS FMO/FMFO

Qualifications

  • At least 3 years of administrative experience
  • Proficient with Microsoft Outlook, Word, Excel, PowerPoint, and scheduling conference rooms and meeting in-person and virtually
  • Provide back-up assistance and support to other administrative duties during periods of absence and/or surges
  • Ability to brief and communicate effectively with senior leaders and managers
  • Ability to obtain a U.S. secret level security clearance (requires US Citizenship)

Preferred Qualifications

  • Bachelor's Degree
  • Current DOD security clearance

The expected salary range for this position is between $55,000 and $60,000. This range is representative of base pay only and does not include straight time pay for hours worked over 40 per week, company contributions towards paid benefits, and/or bonuses. Actual compensation (meeting or exceeding the range) will be determined based on specific experience, education, work location, clearance level, and other factors permitted by law. This position is eligible for bonuses (when applicable).
