Description
Position Overview The HR Specialist is responsible for managing and optimizing the organization's Human Resources Information System (HRIS) while supporting compensation programs to ensure competitive and equitable pay structures. This role involves maintaining HR data integrity, generating reports and analytics, assisting with system upgrades, and supporting compensation analysis, job evaluations, and salary administration. The ideal candidate has strong analytical skills, attention to detail, and a deep understanding of HR technology and compensation principles. This position serves as the backup to the college's Payroll & Benefits Specialist. Position Responsibilities & Functions: HRIS & System Administration:
- Enter and maintain employee data related to employee changes
- Manage workflows and ensure data integrity within the HRIS.
- Write, maintain, and run scheduled and ad hoc reports.
- Review, test, and implement HRIS system upgrades.
- Document processes and troubleshoot HRIS issues.
- Act as the technical point of contact for HR data and reporting.
Compensation & HRIS Management:
- Process adjunct and overload instructor scheduled earnings.
- Coordinate with the college's employer of record to process scheduled earnings out-of-state adjunct instructors.
- Collaborate with managers to gather payment details, create and maintain work agreements, and process earnings.
- Use salary surveys and market data to develop and maintain salary structures within the ERP system.
- Manage compensation-related actions, including new hires, promotions, and transfers, ensuring compliance with policies.
- Participate in compensation surveys and maintain competitive salary ranges and structures.
- Maintain and update job descriptions to ensure proper classification and FLSA compliance.
Reporting & Metrics:
- Generate and publish semi-annual HR metrics, recommending new metrics as needed.
- Prepare and submit the monthly staff variance report.
- Maintain the college's organizational chart.
- Complete and analyze FLSA worksheets as required.
Operations & Compliance:
- Oversee the hiring, maintenance, and termination of student workers.
- Identify and implement HR process improvements and system enhancements.
- Assist with employee handbook updates.
- Train employees on new processes and onboard new HRIS users.
- Manage HR invoices and maintain the department's budget database.
- Organize and maintain the transcript database.
- Complete all employment verification requests.
- Backup to the college's Payroll & Benefits Specialist as needed
Qualifications
Education & Experience:
- Bachelor's degree and2+ years of experience in HRIS administration, compensation, or related HR functions (degree should bein Human Resources, Business Administration, Accounting, IT, Analytics or related field)OR;
- 4+ years of experience in HRIS administration, compensation, or other related HR functions
Technical Skills:
- Proficiency in HRIS/ERP systems, including data entry, reporting, and troubleshooting.
- Advanced Excel skills (pivot tables, VLOOKUP, data analysis) and experience with reporting tools.
- Familiarity with salary surveys, market analysis, or compensation benchmarking.
Soft Skills & Competencies:
- Strong analytical and problem-solving skills with high attention to detail.
- Excellent communication and collaboration skills, with the ability to train others on HRIS processes.
- Commitment to process improvement and maintaining data accuracy/security.
