The Opportunity

The K12 Education and Outreach Department on the Daytona Beach Campus is seeking an experienced, organized and detail-oriented Administrative Assistant. The department provides dual enrollment and STEM programming along with outreach activities to inspire the next generation of aerospace innovators, problem-solvers, and leaders. This position plays a crucial role in ensuring the efficient operation of the department and providing excellent support to staff, instructors, students and our partner schools.

Key responsibilities include:

  • Calendar management:Scheduling meetings, appointments, and travel arrangements for staff.
  • Communication management:Answering phone calls, assisting students and instructors, directing inquiries to appropriate parties
  • Meeting coordination:Preparing agendas, taking minutes, and managing logistics for meetings
  • Office administration:Ordering supplies, marketing materials, managing office equipment, building maintenance requests, manage student employees, shipping.
  • Travel arrangements:Booking flights, hotels, and transportation for department travel, conferences and events.
  • Event Planning: assisting with several large annual events and conferences including sourcing venues, arranging meeting space and logistics. Assist with campus tours.
  • Reporting: Assist with various quarterly and summary reports
  • Budget: Reconcile and process reimbursements for instructor travel.

Qualifications

Required Education and Qualifications:

  • Bachelor's degree or 5 years comparable experience.
  • Minimum of 3 years of related work experience, including previous administrative or budget experience.
  • Combination of related education and experience may be considered. Work experience may be substituted for education.
  • Analytical skills with an in-depth knowledge of Microsoft operating systems including Excel, PowerPoint, Word, Outlook/email, and Internet end-user applications.
  • Basic knowledge of accounting practices. Experience with Workday is helpful, but not required.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities. Ability to multitask, recognize and deal with priorities; recognize and perform duties not directly assigned; assist others as needed.
  • Ability to learn new things and keep up with the pace of changing technology.
  • Ability to investigate, problem solve, and take corrective action.
  • Maintain a positive and professional image.
  • Ability to use good judgment and make informed decisions.
  • Confidentiality and discretion when handling sensitive information
