Job Overview:

The Site Lead will serve as the immediate point of contact at the site level for daily operational needs and facility priorities, which include regulatory surveys/inspections, patient/customer relations, and provider support. This role will also assist with coordinating workflow priorities and supporting on-site projects/events.

Additionally, the Site Lead works closely with the Director of System Deficiency Management and collaborates with HIM leadership to support and drive performance. Ensures HIM/provider communications occurs timely and in accordance with departmental needs/requests.

Qualifications:

Required:

  • Associates of Science in Health Information Management
  • Minimum of 5 years experience in HIM with at least 1 year experience in driving process improvement and demonstrated problem-solving capabilities within HIM.
  • At least 1 year demonstrated experience with interdepartmental collaboration and engagement with Senior Leadership.
  • Ability to lead initiatives that support medical record quality.
  • Ability to communicate with all customers, including external regulatory bodies.
  • Demonstrated proficiency with an electronic health record, preferably Epic.
  • Must be proactive and able to prioritize multiple tasks in order to meet established deadlines.
  • Proficient in computer applications including email and Microsoft Office product suite, i.e. Word, Excel, and PowerPoint.
  • Must be able to work in a fast paced healthcare environment, work well under pressure and have the ability to adapt to a constantly changing environment.
  • Must possess organizational and planning skills, excellent verbal and written communication skills, and excellent interpersonal relationship skills.

Preferred:

  • Bachelor of Science

Required Licenses and Certifications:

  • A current Registered Health Information Administrator (RHIA) or Registered Health Information Technician (RHIT) certification.

Schedule Requirements:

  • Please note, there is required travel/rotational coverage in our Southern Region site/facilities.

Essential Functions:

  • Responds to site level priorities and serves as the HIM liaison upon request.
  • In conjunction with the Director and VP of System HIM Operations, attends in-person meetings where attendance is required.
  • Responds to patient/customer satisfaction concerns and works to resolve them in a satisfactory capacity.
  • Leads provider communication and response needs to address workflow concerns related to chart completion.
  • Serves as an immediate representative for inter-departmental collaboration on priority issues at the site level.
  • Escalates technical issues and assists with plans for any prolonged delays in operational workflows.
  • Assists with testing for system upgrades.
  • Performs HIM technical support functions as required and supports the Deficiency Management team.
  • Directs priority concerns to the appropriate HIM Manager or Director based on the need for escalation after proper evaluation.
  • Supports on-going training throughout HIM operations as it relates to departmental policies, best practices and regulatory standards.
  • Assists with payroll functions and serves as an alternate resource when required.
  • Provides input on reporting needs to for standardization and optimization across the facilities.
  • Monitors HIM Key Performance Indicators (KPI s) and reports outcomes to various committees as needed.
  • Provides support for system-wide short and long-term strategic plans to establish performance standards of excellence and continued success.
  • Demonstrates knowledge of computer systems utilized in HIM.
  • Maintains current knowledge of best practices regarding medical record functions.
  • Monitors vendor performance related to dictation and transcription services.
  • Provides input on hiring, training, coaching, and corrective actions associated with the staff performance and best practices.
  • Participates in process improvement activities, as well as the development and implementation of new products and system upgrades.
  • Performs other duties as assigned.
