The Opportunity

We are seeking an Accounts Payable Specialist to join our Firm. Within this position, you will be responsible for processing incoming vendor invoices, receiving and responding to vendor inquiries, reconciling vendor account statements and assisting with other general accounting duties. This position will be based in our Wilmington office and has a hybrid in-office/remote working schedule.

Responsibilities:

  • Prepares check requests for invoices assuring proper approvals and supporting documentation is obtained, checking for accuracy of client matter codes, office codes, disbursement codes, and other details to ensure compliance with Firm policy and procedures.
  • Updates daily spreadsheet for Skardel transactions. Consolidates the daily summary recap and individual Service Request forms in a pdf file for Manager review.
  • Consolidates invoices and edit list for check requests to prepare for Manager review/approval.
  • Facilitates obtaining proper approval authorizations of invoices greater than $5,000 and pro bono expenses greater than $200.
  • Receives and responds to inquiries from vendors externally and staff internally regarding payment status.
  • Researches and resolves vendor open item statements.
  • Obtains W-9's and other required vendor information for formation of new vendor files.
  • Maintains daily Petty Cash Operating Account.
  • Cuts checks from the Petty Cash Operating and Skardel Accounts
  • Reconciles Petty Cash onsite cashbox on regular basis.
  • Replenishes Petty Cash onsite cashbox as needed to maintain adequate level as determined by Accounting Manager.
  • Prepares Check Requests to replenish funds dispersed from Petty Cash onsite cashbox as Personal Advancesand/or additional funding to cover checks issued through PNC Petty Cash Checking Account.
  • Scans vendor check requests and uploads using Expert Image.
  • Reviews monthly File & ServeExpress transactions, verifying the validity of C/M's used. Updates spreadsheet with exceptional attention to detail, identifying closed, final and inaccurate C/M's.
  • Prepares reports as necessary using Excel.
  • Opens, sorts and routes incoming mail.
  • Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.
  • Managers Firm resources responsibly,
  • Complies with and understands Firm operations, policies and procedures.
  • Performs other related duties as assigned.

Qualifications:

  • Knowledge of basic accounting concepts
  • Knowledge of Excel spreadsheet software
  • Ability to prepare reports using Excel
  • Knowledge of relevant firm computer software programs (e.g. Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems
  • Demonstrates effective interpersonal and communication skills, both verbally and in writing
  • Demonstrates close attention to detail
  • Ability to work well independently as well as effectively with Manager
  • Ability to organize and prioritize work
  • Ability to handle multiple projects and shifting priorities
  • Ability to handle sensitive matters and maintain confidentiality
  • Ability to organize and prioritize work
  • Ability to work well in a demanding and fast-paced environment
  • Ability to read, interpret and follow instructions
  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs

Education and Experience:

  • Bachelor's Degree
  • Minimum of two years' related experience

The starting base salary for this position is expected to be within the range listed under Salary Details. Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law.

$60,000 - $65,000
