Title: Executive Assistant
Location: Houston, TX

Salary: $81,500+

Focus: In this role as an Executive Assistant, you will provide administrative support to a member of Olin's Executive Leadership team. In this role, you will be responsible for managing day-to-day administrative tasks, coordinating schedules, scheduling meetings, and booking travel for these corporate officers and providing general administrative support for the office. The ideal candidate has executive support background as well as excellent organizational and time management skills, attention to detail, and the ability to anticipate needs and act proactively.

Executive Assistant Essential Job Functions:

  • Maintains each executive's calendar, acting as a liaison between internal and external contacts when coordinating meetings and events. Partners closely with each executive to ensure effective scheduling.
  • Provides the highest level of customer service through screening phone calls, emails, and chat messages, providing information or directing inquiries to the appropriate person.
  • Responsible for scheduling and coordinating meetings/events, including room setup, meal arrangements, and agenda preparation.
  • Prepares purchase requisitions, travel arrangements and expense reports; consolidates and prepares information and presentations with great attention to detail.
  • Works closely with other Executive/Administrative Assistants to coordinate calendars with executives and team members from other departments, assist with meeting arrangements and answer inquiries. May occasionally help cover vacations and other days off for other assistants.
  • Provides administrative support to the office including collecting and distributing incoming mail, preparing, and mailing outgoing packages, ordering and maintaining supplies as needed.

Executive Assistant Minimum Requirements:

  • High school diploma or equivalent; Bachelor's degree* preferred.
  • Minimum of 5 years of Administrative Assistant experience; Executive level experience strongly preferred.
  • Demonstrated proficiency with Microsoft Office Suite; Knowledge of SAP purchase requisition processing preferred.
  • Must possess and demonstrate a high degree of professional maturity.
  • Must be able to demonstrate ability to work with and maintain the confidentiality of highly sensitive information.
  • Must be a self-starter who can work independently, effectively prioritize and manage workload in a fast passed environment. Must have exceptional follow-through, be detail orientated and able to multi-task effectively.
  • Strong organizational, written and oral communication skills.
