Job Purpose:

This position will be responsible for the supervision and leadership the RPS Client Service support and Client Service Manager team(s) focused on exceptional client service. Will provide day to day support to plan Sponsors to ensure compliance with ERISA rules and regulations for the plan, keep Sponsors. Sales and Financial Advisors (FA) stay informed of new regulations and plan issues, oversee compliance and testing for the plans. Research issues and suggest changes to plan design as needed. Support plan audits.

Job Duties:

  • Responsible for the management of the RPS Operations team to support all activity around Retirement plan Services operations and oversight of the outsourcing vendor. From coordination of services with Sales team, stay current with regulatory changes, ensure team is current on tasks due and deadlines are met... Duties also include recruiting, hiring, training, performance monitoring and overall management and leadership of employees.
  • Responsible for the preparation and delivery of performance feedback that includes quarterly and annual reviews, developmental action plans, and disciplinary action, as applicable.
  • Responsible for creating agendas and conducting regular team meetings/coaching sessions to provide positive feedback with actionable items to ensure individual and group success. Lead associates in the Peoples way and culture.
  • Responsible for educating and training staff on any changing regulations, policies and procedures.
  • Monitors the teams workflow to ensure timely completion of departmental responsibilities.
  • Sponsor check in calls for your assigned accounts.
  • Be primary Sponsor contact to initiate all activities.
  • Process fund change letters semi-annual or as needed.
  • Keep Financial Advisor informed of contacts and plan.
  • Document changes IRS required or Ad-Hoc requests.
  • Problem Solving and Research to ensure plans are compliant.
  • Will complete end of year Profit Sharing calculations.
  • Point person to ensure timely completion of required and requested items by Financial Advisor.
  • Will act as point person for plan audits.
  • Responsible for the distribution of marketing materials based on account needs to Plan Sponsor and participants.
  • Manage annual notice process.
  • Request and oversee annual census data collection and review.
  • Manage required government reports such as 5500 to ensure filing deadlines are met.
  • Coordinate with Financial Advisor to schedule and assist with participant enrollment or annual meetings.
  • Support Sales team
    • Plan On-Boarding
    • Fee Analysis for new plans
    • Create or amend plan documents
  • Will provide backup support of other Relationship Managers.
  • Responsible for InvestorsView Reg R reviews for assigned accounts.

Operations:

  • Will be responsible for processing manual payroll through the system.
  • Responsible for processing deposits and special request for Balanced Forward plans and Union accounts.
  • Responsible for Annual Fee Tier review for assigned plans
  • Acts as liaison for Plans still in PEBO custody

Oversight Third party vendor:

  • Sign off, Review and follow up on daily vendor reports
    • Outstanding requests and deadlines
    • Distribution deadlines
    • Delinquent payrolls
    • Reconciliations
  • Will be responsible for completing weekly and monthly calls with record keeper to review changes.
  • Implement, as well as update, procedures and processes to ensure compliance with regulatory requirements.
  • Will complete special projects as assigned.

Education, Experience and Job Skills:

  • Associate degree in business and/or five years of experience working in a financial services environment required.
  • Advanced Word, Excel, PowerPoint software and experience at adapting those to particular support needs is required.
  • Must consistently produce work with a very high degree of accuracy.
  • Flexible in changing priorities and working on multiple projects at once.
  • Ability to prioritize work in a multi-task environment is essential.
  • Resourceful in finding information and solutions, and able to think ahead to next steps.
  • Must possess strong interpersonal, and communication skills, especially over the telephone.
  • Must be able to maintain positive experience for clients, and associates, regardless of workload.
  • Self-motivated individual with effective office Administration skills
  • Maintain basic knowledge of retirement plan technical, legal, and regulatory topics.

Basis Qualifications:

  • Associate degree in business and/or five years of experience working in a financial services environment required.
