Job Summary
The Administrative Assistant provides comprehensive administrative and operational support to the School of Business. This role is pivotal in ensuring the smooth execution of academic and program functions, maintaining effective communication, and supporting school deans, faculty, and students. Responsibilities include serving as the initial point of contact for the School of Business, scheduling and planning events, and maintaining school documents and data. This position performs most duties on an independent basis.
Salary Range $22-$23. This is the hourly range for this position. The hourly range offered will depend on a candidate's experience and education, and departmental budget.
Essential Functions

  • Serves as the first point of contact for walk-in visitors, and respond to inquiries via phone and email promptly and professionally.
  • Supports adjunct faculty through onboarding new hires, and ensures timely and accurate entry of course and instructor assignments into the University's systems to ensure correct payment of adjunct faculty each academic term by working with Academic Affairs, Human Resources, and Payroll.
  • Schedules and coordinates events, including managing food orders and reserving rooms for School of Business functions.
  • Utilizes University systems to generate reports on student enrollment, course offerings, and related data.
  • Uses Microsoft Word, Excel, and PowerPoint extensively. Facilitates word processing of department materials including documents for programs and course work, correspondence, class schedules and class materials.
  • Fulfills general office tasks, such as ordering and inventorying supplies, working with Central Printing on large copying projects, and distributing mail.
  • Assists with the School of Business mentoring program, the Hardin Institute for Market Research, and Delta Mu Delta by organizing files for faculty members and drafting correspondence.
  • Processes course schedules and manages text book order submissions.
  • Develops and maintains departmental files.
  • Maintains departmental spaces and bulletin boards by keeping all information current. Designs new looks for boards periodically. Posts announcements from other departments when appropriate.
  • Maintains School of Business Blackboard site.
  • Extensive use of document conversion and sharing programs such as Adobe Acrobat and One Drive.
  • Coordinates timely payment of invoices and department bills.
  • Proctors makeup exams for students as needed.
  • Maintains excellent working relationships with faculty, staff, and students.

Minimum Qualifications

  • High school degree.
  • Excellent organizational, oral, and written communication skills.
  • 2+ years of previous administrative assistant experience.
  • Ability to perform multiple tasks under pressure and to work independently.
  • Proficient with Microsoft Office, Adobe Acrobat, and One Drive.
  • Willingness to vary hours with activity level during the year.


Preferred Qualifications

  • Bachelor's degree.
  • Experience in higher education or in an academic setting.


Working Conditions/Physical Requirements
Employee is subject to indoor work, protected from weather conditions. Work is sedentary in nature and involves exerting up to 10 lbs. of force occasionally and/or a negligible amount of force frequently/constantly in order to lift, carry, push, pull or otherwise move objects.
Work Hours
Monday-Friday, 9:30 am - 2:30 pm (may be slightly flexible)
