Job Highlights

We are seeking a sharp, proactive Executive Assistant who thrives in fast-paced environments and knows how to anticipate needs before they arise. In this pivotal role, you'll be the strategic partner to senior leadership by managing priorities, streamlining operations, and keeping everything on track. This role demands exceptional judgment, discretion, and the ability to anticipate needs, prioritize seamlesslyand execute with precision. Must be astrategic thinker with a bias for action and a knack for turning complexity into clarity.

  • Manages the day-to-day operational and administrative activities for the Lubricant Additives Business Unit(LAB), e.g. word processing and PowerPoint presentations. Receive and screen communications to the Senior Vice President (SVP) including telephone calls and e-mail messages, recorded messages and/or provide assistance using independent judgment to determine what requires priority attention.
  • Setting and monitoring schedules, organizing the incoming flow of work, prioritizing requests, maintaining a monitoring system, and following up to ensure timely responses; preparing for meetings and arranging teleconferences often over different time zones.
  • Prepares all aspects of travel, from travel approval, trip program to expense reports. Assists in the preparation of expense reports of other executive team members.
  • Take appropriate authorized action in the absence of the SVP to ensure that matters requiring attention are referred to and handled in a manner to minimize the effect of the absence. Handle projects as assigned, working independently with minimal supervision.
  • Interface with other board & global BU/GF assistants in Germany headquarters as necessary to ensure appropriate flow of information, meetings, and other activities as needed.
Requirements
  • Bachelor of Science/Arts Degree or equivalent experience. Several years (5+) of experience supporting senior-level executives, in a global organization.
  • Well-organized and self-directed individual, with exceptional time management skills, including the ability to work under tight deadlines, prioritize and efficiently manage multiple, complex projects.
  • Excellent demonstrated oral and written English communication skills. German knowledge would be a plus
  • Advanced skills in word processing, presentation, spreadsheet and other software such as Microsoft Office.
  • Ability to use discretion in handling confidential information, with attention to detail and accuracy.
  • This is anON-SITErole located at the Shelton, Connecticut office.
