General Responsibilities
Responsible for supervising administrative, accounting, and clerical support to Associate Vice President of Faculty Development & Learning Innovation ( AVPFDLI), area directors, library and instructional media staff, and support staff. In addition, serves as a liaison between the FDLI division and the rest of the college community, including both employees and students.
Work Performed
SUPERVISORY DUTIES:

  • Hire Full Time (FT) and hourly support staff
  • Train FT and hourly support staff
  • Coordinate staff schedules for office coverage
  • Supervise and monitor clerical workflow including coordinating, scheduling, assigning, and reviewing office work
  • Work with FT Staff on their Annual Plan options
  • Evaluate staff performance
  • Make merit recommendations
  • Conduct division workgroup staff meetings


BUDGETARY DUTIES:

  • Serve as Secondary Cost Center Manager and Monitor to the Associate Vice President of Faculty Development & Learning Innovation (AVPFDLI), Director of Center for Learning Excellence, Director of Library & Learning Commons
  • Support cost center budgets for the division office, Center for Learning Excellence, Multimedia Production, and Library & Learning Commons
  • Create individual and blanket purchase requisitions
  • Verify HCC employment for new and returning vendors with Payroll
  • Communicate directly with new vendors to obtain required financial information and relay that information to the Finance Office
  • Assist staff with completing vendor contracts and forward contracts to Finance
  • Track receipt of purchases
  • Initiate payment of purchases and/or services
  • Initiate and track faculty innovation grant payments
  • Provide monthly accounting of college credit card purchases to Finance
  • Make lodging/airline reservations as needed for AVP and division staff
  • Act as liaison between accounts payable and vendors
  • Troubleshoot problems directly with vendors
  • Create recurring yearly blanket purchase requisitions at the start of the fiscal year
  • Prepare check request forms
  • Prepare employee reimbursements
  • Prepare budget revisions and expense transfers
  • Assist Associate Vice President of Faculty Development & Learning Innovation in developing budget projections
  • Prepare closeouts for Fund 10 budgets
  • Monitor and order office supplies

ADMINISTRATIVE DUTIES:

  • Act as administrative assistant to the Associate Vice President of Faculty Development & Learning Innovation
  • Plan workflow with AVPFDLI and area directors, establish deadlines, and implement college policy Provide full time representation for AVPFDLI when absent from office due to instructional and/or other responsibilities
  • Possess knowledge of all office procedures and supervised position's duties including administrative, clerical, and budgetary, and have the ability to manage exceptions to those procedures
  • Respond to internal and external communication to include in-person, email and voice mail regarding procedures, problems and requests
  • Design master forms in Word and Excel for reporting budget, administrative, and statistical information
  • Supervise/monitor and act as back-up for activities related to administration of online IDEA Survey Uploading of data to Campus Labs
  • Correction of data errors
  • Completion of Learning Objective Selection form
  • Set-up of survey administration
  • Answer emails sent to the IDEA mailbox
  • Maintain office files to include all types of administrative forms
  • Draft, edit, review, word process, and manage correspondence, reports, and memos as required Coordinate security procedures concerning room access cards, room key requests and parking pass tags
  • Lead the development of the August, January, and May Faculty Development Calendars
  • Make corrections to online session request form
  • Email faculty professional development information to faculty
  • Develop wiki calendar, listing professional development sessions
  • Update calendar with new offerings as needed
  • Using Colleague, assign index numbers and/or synonyms for all Faculty Development Programming
  • Create session packets containing sign-in sheet, roster and evaluations for all Faculty Development sessions and activities
  • Update Excel worksheet for each new professional development period

    • enter data from professional development session evaluations
    • provide data as requested to HR for inclusion in annual workforce development report


  • Review professional development rosters and email registration reminders
  • Enter professional development grades in Colleague
    • work with faculty on an individual basis regarding discrepancies in their professional development transcript

  • Attend AVPFDLI meeting for summer grant discussions, track discussions and grant approvals

    • develop summer grant Excel sheet for tracking purposes
    • create/send contracts


  • Organize and arrange catering for New Adjunct Faculty Orientation held twice per year
  • Plan, organize and arrange catering for FDLI division retreats
  • Advise staff of deadlines, schedules, events and new or changing College and Division policies
  • Order all materials for Multimedia Services, tracking orders and resolving any discrepancies in delivery and pricing
  • Act as backup for all activity related to copyright permissions for DVDs/videos used by faculty, ensuring that all material has current copyright permission
  • Acts as backup for general bookkeeping activities relating to Library fines, handle cash, check and credit card purchases, make deposits to appropriate Library accounts
  • Responsible for on-line office supply ordering
  • Acts as backup for all Electronic Reserve activity, including creation of course pages, scanning documents, text files, audio files and video streaming for posting to faculty course pages
  • Creates and maintains all necessary files
  • Ensures all photocopying and collating is completed in a timely manner
  • Ensures timely collection and accounting of library copier money
  • Performs other duties as assigned

Other Knowledge Required

  • Completion of high school or equivalent, supplemented by coursework in secretarial sciences and considerable progressively responsible experience in office management, including some supervisory experience, or approved combination of education and experience required
  • Considerable skill in work coordination, management, and supervision
  • Familiarity with Excel or other spreadsheet software
  • Ability to operate routine office equipment such as typewriter, word processor and related software packages, CRT, copier, TTY/TDY phone, fax machine, and other equipment may be required


OTHER REQUIREMENTS:

  • Ability to use own initiative to anticipate, identify, and resolve problems
  • Ability to interact effectively with others to determine needs and resolve conflicts
  • Ability to organize workflow, assign and coordinate tasks, review and correct output, evaluate performance, discipline employees as necessary and cross-train subordinates
  • Ability to use software in a Windows environment
  • Ability to maintain strict confidentiality
  • Ability to communicate effectively, both verbally and in writing
  • Regular attendance is a requirement of this job
  • Performs all duties while considering the impact of any actions on the college's sustainability initiatives in the areas of environmental stewardship, social responsibility, and economic prosperity
