Creative Operations Coordinator
Creative Team
This is a 12-month, full-time (40 hours/week), hybrid contract role (on-site 4 days / week)located in Santa Monica, CA.
Summary
Support the operations and workflow of a dynamic Creative Team by managing production schedules, coordinating freelancer onboarding and invoicing, and ensuring the smooth execution of creative deliverables from concept to print-ready assets. This role bridges administrative, creative, and operational functions to help the team meet deadlines, maintain quality, and stay organized.
Our Ideal Candidate
4+ years of experience in a creative, production, or operational support role
Passion for the creative and entertainment industries with a strong foundation in production processes and administrative support
Proficient in Microsoft Office (Word, Excel, PowerPoint), Apple Keynote, Adobe Creative Suite (InDesign, Photoshop, Illustrator), and project management systems such as Monday.com
Familiar with file preparation, pre-press processes, print production, and creative asset management systems
Skilled in collaborating with cross-functional partners such as brand managers, production, legal, and finance teams
Able to work independently and manage multiple priorities across concurrent timelines
Flexible and adaptable to fast-paced environments and evolving project needs
Strong written and verbal communication with exceptional attention to detail
Organized, self-motivated, and solutions-oriented, with a "can-do" attitude
Job Description
In this role, you will ensure creative projects are properly tracked, proofed, and transitioned through various stages of development and production.
You'll partner with stakeholders across creative, production, brand, accounting, and legal teams to execute key deliverables. This includes scheduling meetings, preparing tech packs, reviewing and adjusting design files, and maintaining freelancer and asset databases.
You will also support administrative needs for the Creative Directors, assist with system logins and onboarding, and coordinate sample approvals-supporting the team's overall creative flow and operational excellence.
Education and Experience
Bachelor's degree in Design, Fashion, Communication Arts, or a related field, or equivalent practical experience
Background in creative production, design support, and operational coordination
Experience working in a collaborative creative studio or production environment preferred
Experience in a creative field, preferably in the music industry and especially in merchandise preferred

This opportunity is located in Santa Monica, CA, and requires hybrid work-onsite four days per week, with remote work on Fridays
The pay for this W-2 position ranges from $30.00-$31.80 per hour
