Job Summary:

The Real Estate Coordinator role supports our growing real estate operations. In this role, you will be responsible for managing lease administration activities and assisting the Real Estate team with coordination tasks across assigned markets. You will serve as a key liaison between landlords, internal teams, and finance to ensure smooth and accurate lease processes.
  • Research and review lease agreements and related documents to support real estate representatives.
  • Handle inbound landlord inquiries and escalate to appropriate representatives.
  • Input lease information into the Quattro system and ensure all associated forms and attachments are complete.
  • Maintain organized records of new leases, renewals, payment reductions, and associated paperwork.
  • Perform both manual and electronic filing of lease documents, correspondence, and related records
  • Enter and verify landlord payment information, review checks for accuracy.
  • Track and maintain lease files including agreements, contact data, and payment records.
  • Monitor and report on lease terminations, renewals, payments, and increases.
  • Partner with Finance to reconcile monthly lease payment variances and investigate discrepancies.
  • Log and route maintenance issues (e.g., graffiti, property damage) to the appropriate departments.
  • Perform additional tasks and special projects as assigned.

  • Ability to read, analyze and interpret verbal and written requests and directions.
  • Must have the ability to compose letters, memos, emails and other written documentation clearly and concisely.
  • Be able to present one's self in a highly cooperative and professional manner when meeting both internal and external customers and vendors face to face.
  • Must have working knowledge of Windows operating system and be competent in Microsoft software applications (i.e., Word, Excel and Outlook).
  • Must have ability to learn and use company and customer system(s).
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals; compute rate, ratio and percent and to produce and interpret bar graphs.
  • Ability to think things through and develop processes that contribute to enhanced organizational efficiency.

Education

  • High School Degree or GED required.
  • Bachelor's Degree in Accounting preferred, or equivalent combination of education, training, experience, or military experience.

Physical Demands

The demands described below are representative of those that must be met by an employee to successfully perform the essential functions of this job:

  • Employee must have the ability to sit and/or stand at a desk for a minimum of 8 hours a day and complete tasks requiring repetitive use of hands.
  • The employee must have the ability to lift and move items up to 15 pounds.
  • Employee must have the ability to see written documents, computer screens and to adjust focus.
  • This job is performed in a temperature-controlled office environment.
