Responsibilities
1. Development Operations Lead and supervise the Advancement Services team. Set goals, strategic direction, manage progress, provide guidance, establish expectations, maintain effective communication, foster job, and professional development, and provide ongoing feedback on their work performance. 1 .1 Create a vision for technology use to enhance the YNHHS's fundraising operations. Oversee the development and maintenance of comprehensive and leading-edge online services designed to serve a wide range of internal and external constituents. 1 .2 Serve as a member of the organization's leadership team, oversee the collection of requirements and development of scorecards, benchmarks, metrics, and reporting dashboards that will be serviced by a comprehensive data warehouse and business intelligence platform. Oversee the design and construction of these tools. 1 .3 Oversee the provision of ongoing analytical reports to aid in planning, executing, monitoring, and reporting of fundraising and engagement activity, such as: annual and campaign fundraising; prospect management, event planning; donor stewardship, and fund management. 1 .4 Lead and manage the department's relational database system (currently RENXT), ensuring that the system is fully operational and useful for strategic planning; information management; data retrieval and reporting; gift tracking and analysis; and activity management and reporting. 1 .5 Manage the development of training on, and access to systems used for accessing reports, planning documents, data standards, and other shared information. 1 .6 Develop, implement, and coordinate policies and procedures for daily departmental operations and maintenance of department records. 1.7 Oversee the Advancement Services team's efforts to ensure data integrity and compliance through the following: - Collaborate with the team to ensure data integrity, maintenance, security, and other related operational issues regarding system support are in place. - Lead and manage any future database conversions, collaborating with staff to identify the right software, manage all aspects of the conversion data and table mapping, report generation, training, etc. - Work with departments to improve the flow of information and, thus, minimize the proliferation of additional shadow databases. - Supervise all gift acceptance and recording, while working closely to guide and support all processes for gift acknowledgement and donor stewardship. This includes, specifically, ensuring a gift and pledge recording, acknowledgement and reminder system that is accurate and timely in execution, meeting the highest standards for donor satisfaction. 1 .8 2. Prospect of Research Development Oversee prospect research team in identifying new prospects, providing in-depth research, and creating prospect profiles for current and prospective donors. 2 .1 Works with leadership to manage donor assignments, portfolios, pipeline and setting fundraiser metrics. Provides reports for prospect development meetings. 2 .2 Provide guidance on database activities (reports and data management) related to prospect research, campaign planning, prospect management, and principal gift management. 2 .3 Oversee system implementations and business process development to ensure that the current database management system can provide the information and reports necessary to support campaign and fundraising activity. 2 .4 Oversee the efforts of ensuring all information gathered by research is entered into the current database management system in the most effective manner and that information is consistently validated and updated.
3. Finance Work closely with Finance to coordinate all reporting and compliance efforts related to private gifts , audits, and endowment spending. 3 .1 Lead the department's efforts to ensure compliance with all applicable government regulations with particular attention to gift acceptance, management, and reporting regulations as well as all privacy issues. 3 .3 Manages the foundation budget. Oversee the timely development and submission of reports to external groups in compliance with CASE, FASB, and IRS regulations.
4. Management Supervise and mentor a team of professionals and support staff , providing structured professional development opportunities and targeted training; evaluating personnel; and making recommendations regarding hiring, training; promotions, disciplinary actions, and terminations. Make unit budget recommendations and oversee the effective management of multiple departmental and project budgets. 4 .2 Manage partnerships with YNHHS internal organizations - specifically IT and Finance - to maintain coordinated, efficient, and collaborative approaches to systems and processes.
5. Strategic Operations Under the leadership of the Chief Development Officer and Senior Vice President work collaboratively in supporting concrete goals, objectives, messaging, and strategies for the department?s fundraising, engagement, and communications enterprise and for individual team members. 5 .1 Where strategic and appropriate, participate in inter-unit task forces to achieve specific project/campaign goals. This work may include?upon recommendation of the Chief Development Officer and Senior Vice President interaction with members of the Board of Trustees or other committees .
6. Professional Development Participate in related professional meetings and conferences to maintain/grow skills. Effectively represent and promote YNHHS to diverse constituencies.
Qualifications
EDUCATION Bachelor's degree or combination of education and experience in the areas of business, marketing, statistics, or computer science is required. Master?s degree in the areas of business, marketing, statistics, or computer science is strongly preferred. EXPERIENCE Minimum of 10 years of demonstrable leadership experience with increasing responsibility in the areas of development operations and database management using Raiser 's Edge, Luminate Online, Power BI, and SQL server administration at a healthcare organization or nonprofit institution. Minimum of 10 years of experience managing a staff of 5 or more. Prior experience within a healthcare or academic medical setting strongly preferred. SPECIAL SKILLS: Data visualization expertise and/or advanced data analytics skills. Proven success using technology to enhance communications and operational efficiencies in the office . Advanced computer skills; proficiency in using word processing, Excel spreadsheets, databases, and web resources. Strong interpersonal and written communications skills with demonstrated attention to detail and ability to relate to stakeholders at varying levels, internally and externally. Expert planning, coordination, and organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail and accuracy. Able to handle multiple deadlines at one time. Familiarity with the Association for Healthcare Philanthropy (AHP) is preferred. ACCOUNTABILITY Reports to the Chief Development Officer and Senior Vice President. SPECIAL WORKING CONDITIONS AND PHYSICAL DEMAND: Availability to work nights and weekends and travel to events as needed . Work is performed in a remote or office-based environment and requires the ability to operate standard office equipment.

Position Overview
The Vice President of Advancement Services manages the operations of the advancement services function of the Yale New Haven Health System (YNHHS) and serves as a key partner in all areas of Institutional Advancement. The Vice President provides administrative oversight and strategic direction for the organizational database, constituent and gift records, prospect research and finance. Supervises Advancement Services staff, manages the department 's information systems, and creates a strategic vision for the use of technology to enhance the department 's fundraising objectives. The Vice President oversees the development and execution of statistical analyses and serves as a liaison with central IT, Finance, and other offices related to information systems and data management needs.
