About the role

The Multifamily Operations Manager is a regional and corporate support position responsible for monitoring operational processes and procedures and software system integration. Oversight of these functions will ensure the success and integrity of the company's multifamily property management operations.

What you'll be doing



  • Monitors property management software dashboards as it relates to Move-Ins, Move-Outs and Deposit Accounting.
  • Reviews monthly utility prebill in conjunction with Community Manager from third-party utility billing provider.
  • Manage monthly rent posting process, including reviewing residents on notice to update lease charge end dates, applying month-to-month rates for residents not in scheduled renewal status, and completing the rent posting on the 25th of each month-or the preceding Friday or following Monday if the 25th falls on a Saturday.
  • Reviews resident account at move out to ensure that all required attachments for collections have been uploaded.
  • Performs final move out accounting including confirming the completion of the move out inspection and that the fees have been posted to the resident's ledger.
  • Ensures Notice to Vacate has been recorded and uploaded in the property management software and related fees where applicable were posted to the resident's ledger accurately.
  • Prepares and submits Resident Refund and Write Off requests as needed.
  • Communicates any deficiencies in the resident's file and/or ledger to the onsite community management team for correction.
  • Reviews and performs corrective actions detailed on the monthly Gross Potential Rent audit.
  • Review payment dashboard within PMS at a minimum of weekly for any alerts.
  • Confirms and performs charging legal fees as invoiced for residents in eviction status.
  • Review renewals posted after the 25th to make sure scheduled lease charges are correct for next month.
  • Regularly reviews residents on month-to-month to ensure accurate billing per company policy. Routinely generate month-to-month letters on an on-going basis.
  • Communicate any changes in scheduled lease charges or vacant cost recovery to the onsite community management team.
  • Complete support tickets submitted by Community Manager and/or Assistant Community Manager including posting charges and/or concessions to residents' ledgers per the company's policies and procedures.
  • Conducts on-site training of community management employees as directed by the Director of Multifamily Operations.
  • In conjunction with the BBC learning team, performs virtual and on-site training of the company's policy and procedures.


  • Reviews training materials as needed to ensure key components of the related policy and procedure are addressed.


  • Assists with the review and amendment of policies and procedures.
  • Consolidates policies and procedures where necessary to streamline processes.
  • Reviews specific procedural details as it relates to implementation of the policy on site.


  • Reviews major and minor action items in assurance portal and works to review and amend policies and procedures to compliment the assurance action items.


  • Routinely reviews lease files for inaccuracies between what is listed on the lease and what is recorded in the PMS.


  • Documents any inaccuracies and presents findings to Senior Operations Manager and Director of Multifamily Housing to review with respective property team to correct mistakes.


Typical Physical Demands: Regularly use hands to manipulate tools, controls, phones, and computer keyboard. Frequently stand, reach with hands and arms, climb, balance, and stoop. Sit and stand to do clerical work. Regularly lift and move office supplies up to 20 lbs.

Work is performed in an office. Employee frequently interacts directly with community management, facilities management, residents, and other staff members during the workday.

Who we're looking for



  • High School Diploma or GED


  • BA in Business, Real Estate Managed or related field preferred. Associates degree or higher
  • 3 years of property management experience
  • Preferably in Multifamily Real Estate operations as an Assistant Community or higher.
  • Analytical skillset with experience in MS Excel and experience with property management software, Yardi, Entrata, Real Page, etc preferred


  • Strong knowledge of multi-family operations
  • Ability to manage multiple assignments.
  • Must be a self-starter with a high level of motivation.
